Position Summary
An intermediate position that provides administrative support services to a high level administrator which includes complex and confidential projects requiring initiative and attention to detail and the ability to work in a multi-tasked environment. Utilizes acquired knowledge of the organization, functions, policies and procedures.

Required Knowledge, Skills & Abilities
Require the ability to use a personal computer for word processing and/or other functions. Ability to interpret and apply administrative and department policies, regulations and rules; understand and follow complex oral and written instructions. Ability to compose correspondence independently; keep complex records; prepare reports; and interact with a wide range of DCCCD staff, and community leaders in situations requiring tact, diplomacy, and poise from diverse backgrounds. Strong knowledge and experience providing effective customer service.

Physical Requirements
Work with light, easy to handle material requiring little physical effort.

Minimum Knowledge and Experience
Bachelor's degree or higher PLUS two (2) years of experience in administrative related work in an office environment OR Associate's degree PLUS four (4) years of experience in administrative related work in an office environment OR graduation from high school or equivalent PLUS six (6) years of experience in administrative related work in an office environment. Valid driver's license required. ***Will be subject to a criminal background check. Some positions may be subject to a fingerprint check.***

Essential Duties and Responsibilities
This position is for the Facilities Services division.
Performs administrative duties for a department in support of faculty, staff, and/or student efforts including answering correspondence, processing and prioritizing office communications, research and analyzing data, processing mail, making travel arrangements, and processing confidential matters. Prepares special reports at the request of supervisor; answers requests for information which may include researching, analyzing, and summarizing data from files/records; may attend specific Council or staff meetings for the purpose of taking notes and providing follow-up. Organizes and coordinates physical arrangements for special events, meetings, projects, etc. Includes, but is not limited to: contacting participants; preparing agenda; reserving meeting rooms and or accommodations; planning menus and arranging for meals; preparing handouts; locating and negotiating with speakers/performers; and preparing summaries of event used for budget and historical purposes. Maintain schedules, calendars, and appointments which may include scheduling department meetings, events, issuing invitations, arranging for location and equipment. Perform public relations duties through contacts and associations with important visitors, high-ranking governmental and educational officials, and the general public. Analyzes department practices/procedures and prepares recommendations to create new systems or revise established procedures. Maintains adequate office supplies; orders and prepares requisitions for needed supplies; arranges equipment for repairs and maintenance. Sorts and prioritize incoming mail; composes and prepares correspondence and memos; responds to inquiries regarding policy and procedure interpretation; maintains appointment schedule; and coordinates supervisor's calendar. Performs a variety of bookkeeping functions related to budget development and monitoring, account reconciliation, and purchasing. Establishes and maintains files related to department functions and activities, and/or employees, including creating and maintaining extensive databases and/or other records and inputting class schedules into the Colleague system. Performs related duties as assigned.
