The Advancement Associate for the Office of the Senior Vice President ( SVP ) for Advancement is responsible for managing critical office functions, overseeing specific special projects and providing administrative support to the Assistant Vice President ( AVP ). This position requires considerable discretion and judgment in coordinating and responding to communications and problem solving on behalf of the Office of the SVP . The Advancement Associate must be able to work in a fast-paced, collaborative office environment and demonstrate a high degree of professionalism.

  • Higher education experience preferred.

Minimum Education
  • Bachelor's degree or the equivalent combination of education and experience.

Key Accountabilities

OFFICE ADMINISTRATION / MANAGEMENT / COMMUNICATIONS
  • Works in conjunction with the AVP on critical office functions and daily operations, including sensitive institutional issues; makes recommendations and implements improvements.
  • Collaborates and cooperates with all members within the Office of the Senior Vice President to understand and assist with work efforts.
  • Exercises considerable independent judgment in responding to requests for information by email or phone, replying for the AVP or the Office of the SVP as needed in a professional manner, and involving others within Advancement when required.
  • Manages a variety of centralized office management tasks such as telephone support, scheduling, concierge-style service for external constituencies, and similar activities.
  • Conveys key issues, concerns and time sensitive information to both the SVP and AVP for their appropriate attention and responses; anticipates needs and makes recommendations for responses as appropriate.
  • Prepares Advancement presentations for internal and external audiences; provides on-site logistical support as needed.
  • Serves as scribe in select meetings involving the AVP or SVP ; coordinates logistics for meetings, and assists with agenda preparation as required.
  • Drafts correspondence and briefing material as needed, and assists with proofreading.
  • Manages special project assignments in support of the SVP team.
  • Assists with budget transactions/reconciliation and business expense reimbursements.
  • Inputs, gathers data and produces reports. Access computer database to obtain information in response to alumni inquiries.
  • Provides administrative support and maintains stock and inventory control of general office supplies for the Advancement office.

CALENDAR / SCHEDULE COORDINATION
  • Manages, plans, and coordinates the AVP's complex daily appointment calendar and travel to ensure the most efficient use of time. Alerts AVP to upcoming deadlines.
  • Coordinates and schedules a variety of activities and office functions, including retreats, luncheons and celebrations to support staff communication and office morale, locating and reserving facility space, and arranging for necessary services.
  • Schedules regular office meetings, gathers information, coordinates items and prepares agendas. Follows up on details to ensure timely and accurate dissemination of meeting action items.
  • Acts as a liaison with a wide range of contacts, including Dartmouth administrators, faculty and staff as well as foundations, corporations, alumni, etc. Places, answers, screens and directs numerous telephone calls.

TRUSTEE ADVANCEMENT COMMITTEE SUPPORT
  • Supports the AVP and SVP with preparations for meetings of the Advancement Committee of the Board of Trustees. Responds to queries from Advancement Committee members and other high-level volunteers.
  • Coordinates details for meetings of the Board of Trustees Advancement Committee.
  • Prepares and assembles materials needed for meetings, both via electronic and hard copies.
  • Assists in management of the Advancement Committee's Share Point web portal for historical purposes.
  • Drafts correspondence related to the Advancement committee.

PRESIDENT'S LEADERSHIP COUNCIL SUPPORT
  • Assists in the coordination of details for meetings of the President's Leadership Council; prepares and assembles materials, both via electronic and hard copies; tracks invitation responses, accommodation needs, and other detail; coordinates mailings, maintains supplies and procures gifts as needed.
  • Administers the President's Leadership Council website, routinely reviews existing content and drafts new content.
