Basic Function and Responsibility:

Organize outreach activities of the Office of International Services (OIS), including orientation, social and intercultural programs and, in collaboration with OIS advisors, immigration programming. OIS offers services on all campuses and schools of Johns Hopkins University in the Baltimore/Washington DC. Region.

Duties will require the coordinator to collaborate and build successful relationships across JHU divisions/units in order to identify and provide robust and impactful activities that meet the needs of a diverse international clientele. S/he must develop, plan, coordinate, and execute programming initiatives including logistical arrangements, vendor agreements, budget management, etc., with limited supervision and direction. Position is based on JHU’s Homewood Campus in Baltimore. Travel between campuses and work on evenings and/or weekends required regularly throughout the year.

Primary Duties and Responsibilities:

International Student Orientations
  • Work with OIS and divisional staff to coordinate international student orientation efforts across divisions, including one or more major program(s) each fall.
  • Coordinate social media communications and pre-arrival webinars for incoming students.


Exchange Visitor Programming Support
  • Offer relevant programming in support of the regulatory requirements of J-1 Exchange Visitor Program participants
  • Provide necessary information for the narrative of programming activities included in J-1 Annual Report


Other Outreach and Engagement
  • Manage and evaluate current programming initiatives including fall Welcome Events, International Bridge Program, Thanksgiving Dessert Social, Cherry Blossom Festival, Easter Egg Hunt, and the Hopkins March Immigration meeting.
  • Create and evaluate new initiatives such as intercultural communication workshops, International Education Week, international film or lecture series, group excursions, etc., to address needs of international clientele and divisions
  • Manage the International Ambassadors, a leadership program that provides program advising and assistance to OIS.


Communication
  • Oversee production of the OIS Weekly Update e-newsletter
  • Utilize social media for enhanced communication with clientele; develop an annual outreach and engagement communication plan and oversee regular social media communications
  • Work with existing student groups/clubs, Johns Hopkins Postdoctoral Association (JHPDA), and Student Government Associations
  • Develop and propose programming assessment metrics and tools to monitor effectiveness of existing and new programs
  • Serve on OIS and campus-wide committees
  • Develop and maintain annual programming calendar of events
  • Identify and promote select divisional or campus programs to international clientele
  • Attend conferences and give conference presentations as appropriate
  • Develop annual outreach and engagement goals and objectives
  • Provide report of annual outreach and engagement activities
  • Develop regular communications and identify collaborative programming opportunities with student services personnel in all divisions including student life, residence life, counseling services, career services, etc.

Minimum Qualifications:
Bachelor’s degree in a relevant field AND three years (3) of experience working with international student and exchange scholar populations or event planning, development, and coordination.

Desired Qualifications:

Master’s degree in Higher Education Administration or related field. Expertise in use of MS Office applications, especially Word, Excel, Outlook, Visio, and Publisher; eLearning software experience, such as Adobe Captivate and Articulate Storyline; experience in use of university student and personnel information systems; familiarity with FERPA regulations. Experience living/working/studying abroad. Knowledge of immigration regulations at academic institutions. Proven ability to build and sustain professional collaborative relationships, work with great accuracy in a fast-paced environment, and handle multiple deadlines simultaneously.

Special Knowledge, Skills, and Abilities:
  • Strong professional writing, editing and speaking skills.
  • Comfortable in a position requiring multi-tasking. Must function effectively and professionally in a fast-paced environment. Must have the ability to focus on details and follow through to completion within time constraints.
  • Capacity to manage several activities simultaneously relying on strong organizational skills, self-motivation and excellent communication skills. Proven ability to prioritize workload.
  • Ability to move easily throughout the campus and between JHU campuses.
  • Ability to interact and work effectively with a diverse range of internal clients including leadership, faculty, scientists, researchers, staff and students, and committee members
  • Ability to translate complex ideas into digestible written and visual content for web and social media.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
