The Sr. HR Coordinator for Health Sciences Human Resources provides a wide range of human resources support and consulting services to HR Directors, HR Managers, HR Coordinators, Department Administrators, and Faculty and Staff in the Schools of Medicine, Public Health and Nursing.

The Sr. HR Coordinator will provide information and guidance for the proper handling and administration of all types of paid and unpaid leave which includes FML, Worker’s Compensation, Short Term Disability, Long Term Disability, Maryland Flexible Leave, Family Leave for New Parents and all applicable State leave laws. Will serve as the Health Sciences I-9 expert, E210 Administrator and Personnel Records Administrator. Serves as internal consultant to explain, interpret and provide direction on university policies, practices and procedures. In collaboration with the Manager for HR Business Services and the Sr. Administrator for Leave and Records, this individual will recommend and implement best practices and procedures regarding leave administration and HR records management that ensures compliance and efficiency. This position reports directly to the Manager, HR Business Services.

Essential Duties & Responsibilities:
  • Utilizes SAP to review, monitor and troubleshoot all payroll issues for all members of Health Sciences.


  • Works with Career Services Office to resolve any student payroll-related issues.


  • Reviews semi-monthly payroll register to ensure faculty and staff are paid on time and accurately.


  • Answers questions related to time entries both on the E210 and in CATs and completes Kronos Historical Edits.


  • Resolves, researches and provides payroll guidance for leave and overtime processing.


  • Monitors monthly/weekly and quarterly reports and takes appropriate action to ensure compliance. Runs reports and reviews and approves ISRs in SAP.


  • Maintains administrative fields for E210 time records by adjusting time schedules, assigning supervisor, and updating department codes; sends reminders of incomplete time records and ensures that time records are accurate.


  • Runs Overtime reports to ensure accuracy and timely payments.


  • Provides counsel and guidance to HR Assistants in Health Sciences HR related to proper FML administration and personnel records management.


  • Conducts I-9 audits to ensure that I-9s for faculty, staff and students in Health Sciences are completed timely and that I-9 cases are closed timely and appropriately.


  • Monitors reports and facilitates the resolution of E-verify issues.


  • Oversees the completion of remote I-9s for Health Sciences faculty and staff and responsible for ensuring that all federal contractors in Health Sciences schools and departments have been E-verified.


  • Facilitates training and follow-up to HR departments, faculty and staff.


  • Liaison with departments and HR Leaders to assist in employee relations matters related to FML and other types of leave; will provide related reports and data as necessary.


  • Oversees processes and procedures for employment verifications for Health Sciences.


  • Responsible for the maintenance of paper and electronic personnel FML files.


  • Participates on university HR committees and key member to implement and foster support of HR initiatives.


Qualifications:

Bachelor’s degree in business administration, human resources or related field. Three years related experience to include administration of family medical leave and other leave administration required. Directly related experience may substitute for education, to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Knowledge and Skills:

Demonstrated understanding of and management of FMLA, FLSA, and short and long term disability, paid state and county leave laws/requirements, timekeeping and any related functions that may impact HR practices and processes. Demonstrates understanding of I-9 processing and the intricacies of documentation requirements for foreign nationals. Possess the ability to work in a fast-paced department with very large client-base. Proven ability to adapt well to change and demonstrated critical thinker. Demonstrated ability and desire to work as a collegial member of a large team.

Ability to act independently with minimal direction and make decisions that support the team and promote the organization mission. Has strong customer service and conflict resolution skills, strong verbal and written communications skills, and active listening skills. Ability to analyze and interpret data, reports, and policy information. Proficient computer skills including MS Word, Excel and Outlook are highly desired along with the ability to generate reports.

Preferred Qualifications: Experience in human resources in higher education. SAP experience. Supervisory experience.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
