The Sr. Development Coordinator provides high level project and administrative support for an Associate Vice President (AVP) and the larger Office of the Vice President for Development and Alumni Relations. Interprets and applies operating policies, exercises independent judgment in the resolution of administrative problems, and communicates with all levels of internal and external administrative and academic leaders, important donors, alumni, guests, and others.
Primary Duties and Responsibilities
Development Focus (75%)
• Working with the Vice President and Associate Vice President to compile historic fundraising results across development for professorships, interview internal stakeholders about the challenges in professorship fundraising and new strategies and building an overall plan and report for senior leadership.
• Collaborates with others to prepare comprehensive briefings regarding principal gift prospects for the President. Solicits inputs from Associate Deans, Directors, and Senior Development Officers. Compiles data from various systems and reports. Creates related graphs and tables. Writes and edits copy.
• Lead on project with the Vice President and Associate Vice President on a comprehensive review of development policies and practices around gift approval. Requires distillation of a wide range of documents, independently updating and writing revised policies and working with senior leaders to develop a training and roll-out plan.
• Provides support for donor and prospect engagement. Develops giving statements for trustees and other principal level prospects. Drafts donor correspondences and assists in developing donor proposals. Helps to develop briefings for donor leadership visits and meeting. Helps research donors and prospects and assists in portfolio analysis.
• Builds an expert knowledge and demonstrates proficiency in the use of the constituent database in order to help the AVP maintain constituent data in the system, produce standard and ad hoc reports, and monitor the activity and performance of assigned units.
• Produces a variety of reports and presentations using information from multiple sources to address a range of requests with general guidance from AVP. Compiles and analyzes data when needed. Conducts independent research and creates original content.
• Provides a range of related services in support of projects for the Office of the Vice President.
• Interacts and communicates effectively with senior administrative and academic leadership of the university and their respective staffs. Does the same with trustees and high-level donors.
• Handles sensitive and confidential information with an appropriate level of discretion.
Administrative Focus (25%)
• Manages the calendar and prepares the AVP for meetings, appointments, and special events. Organizes high-level meetings with various constituencies. Identifies schedule conflicts and takes initiative to resolve them in a timely manner. Ensures that needed meeting materials are prepared and disseminated.
• Organizes and coordinates large scale meetings and standing committees led by the AVP to include managing the agenda, taking notes, and leading follow-up actions.
• Handles and triages incoming correspondence, telephone calls, and meeting requests. Routes matters and correspondence to other staff members as appropriate. Prioritizes items that need immediate attention.
• Directly handles routine communications and those which do not require elevation to the AVP. Also handles basic inquiries when the AVP is not readily available by answering them directly or redirecting them to another person. Ensures that timely and appropriate responses are provided.
• Drafts both standard and personalized communications on behalf of the AVPs. This may include office communications, letters, e-mail, and other forms of communication to key academic leaders and external constituents. Regularly proofreads and edits confidential, sensitive information. Seeks approval and signature before distributing when needed.
• Makes domestic and international travel arrangements; generates corresponding itineraries and prepares any related materials that may be needed depending on the purpose of the trip. Coordinates travel plans with other offices when needed. Ensures timely processing of travel and expense reimbursements and credit card reconciliations.
• Coordinates other office services such as maintaining paper and electronic filing systems, purchasing supplies, and copying and distributing materials.

Qualifications

Qualifications: High school diploma/GED with minimum five years related experience required. Bachelor's degree preferred. Additional education may substitute for years of work experience (JHU Equivalency Formula: 30 undergraduate degree credits/semester hours or 18 graduate degree credits may substitute for one year of experience).
The successful incumbent will have excellent word-processing and database management skills; significant PC experience and a thorough working knowledge of Windows, Word and the internet (knowledge of Excel, Access and PowerPoint are preferred); outstanding interpersonal skills; strong organizational skills; ability to manage more than one project simultaneously; excellent writing, editorial and verbal communication skills; ability to work in a dynamic, fast-paced environment.
