The Admissions Specialist position serves as the lead in admissions processing and document management for all application materials for Advanced Academic Program’s (AAP) graduate applications, utilizing Hobsons Apply Yourself and ISIS. Additionally, this position provides administrative troubleshooting and interacts regularly with prospective students, staff, faculty, and senior management.
Essential Duties & Responsibilities:

  • The Admissions Specialist provides lead support in efficient application processing and document management. He/she publishes applications, processes applications and supporting documents, retrieves electronic documents from vendor portals, such as WES, ETS, and MCAT, updates pre-submitted application materials in excel spreadsheet, creates, admissions folders, mails decision letters, files documents, and retrieves re-applicant folders from Registration. He/she maintains accurate records to assure that complete official academic records are on file, providing quality checks for accuracy, and assisting with necessary document clean-up. The Admissions Specialist works closely with the Admissions Manager to develop, enhance, and maintain an efficient document processing and management process.
  • From the time documents are received, documents should be uploaded in 48 – 72 hours.
  • The Admissions Specialist will comprehend the admissions and registration processes for over thirty dynamic master's programs, concentrations, and certificate programs and interact with prospective applicants via recruitment fairs, office appointments/walk-ins, by phone and email. He/she will accurately and quickly respond to emails sent to one of the general Admissions e-mail accounts (aapadmissions@jhu.edu) and engage in outreach to applicants, as needed. He/She assists the team with answering office phones, responding to voicemails, training new employees or student workers on document management, and occasionally meeting one-on-one with prospective students. This position reports to the Admissions Manager, but also works closely with Registration and Program Directors regularly regarding admission policies, procedures, and decisions. He/she defends the admission decisions or indicates necessary corrective requirements. This position also attends weekly team meetings, trainings, and workshops as assigned.
  • Student e-mails received in the general admissions box should be responded to within 48-72 hours. E-mails from PDs should be responded to within 24 hours.
  • The Admissions Specialist also participates in open house events and on and off site recruitment activities. He/she will also partake in special projects and other duties as assigned.


Qualifications

Education, Experience, Licensure, Certification:
High school diploma/equivalent required, Bachelor's degree preferred. Two years of relevant experience required, preferably in higher education. General knowledge of procedures in enrollment services preferred. Excellent relational database experience. Specialized knowledge of MS Office Suite, prior experience with a student information system and/or Hobsons ApplyYourself. Excellent customer service and communication skills.
Knowledge and Skill:
  • Ability to process sensitive student records accurately and retrieve information from two complex database systems.
  • Ability to comprehend the admissions and registration processes for over thirty dynamic master's programs, concentrations, and certificate programs.
  • Ability to follow instructions, prioritizing tasks in a fast-paced professional environment.
  • Ability to interact with sensitivity to students, faculty, staff and senior management.
  • Ability to establish effective work relationships both within and outside of the Admissions team.
  • Ability to develop a detailed understanding of complex divisional, department, and university policies and procedures.
  • Ability to audit database information.
  • Ability to independently and reliably perform a wide range of operational tasks related to the University's Admissions and Marketing functions.
  • Ability to assist internal and external clients in understanding and interpreting policies and procedures.
  • Ability to have a comprehensive understanding of service organizations in the university in order to refer students to appropriate individuals and/or systems such as financial aid and student accounts.
  • Ability to be flexible throughout the academic year and handle additional duties as assigned
