Under the supervision of the Associate Dean of External Relations, the Senior Special Events Coordinator will be responsible for event production management for the Whiting School of Engineering. The Senior Special Events Coordinator will partner and consult with the WSE chief of staff, Director of Alumni Relations, Department Chairs, and Special Event Committees to see their process of developing the event strategy and deliver a successful event.

The Senior Special Events Coordinator will design, develop, plan, manage, and implement major events to promote the mission of the Whiting School of Engineering. The successful candidate will provide leadership and vision for Whiting School events, including developing current and long-term departmental initiatives; maintaining consistency across departments, and implementing an annual calendar of special events to include: Department lectures, Design Day Luncheon, Convocation, E-week, PhD Hooding, MS Commencement, Dean’s Town Halls, Faculty Retreats, Dean’s Office Celebrations, IPLs, External Reviews, Dinner with the Dean, Senior Send-off, Summer Finance Event, faculty/staff appreciation events, and dedications and ground breaking.

As part of event administration, the Senior Special Events Coordinator should be able to:

  • Manage logistics and organize resources for the Whiting School by reserving event spaces, developing invitation lists, securing vendor contracts (printing, catering, Audio/Visual services, décor, mailhouses, etc.), preparing print pieces, monitoring RSVPs, coordinating staff assignments, tracking attendance, preparing budgets and reconciling expenditures, and other tasks as assigned.
  • Provide oversight of all WSE events to ensure consistent look and feel that will build WSE brand image by designing standard templates for invitations/programs and other print pieces for use across the School, researching and preparing background information for standard leadership briefings, preparing reports and evaluate the effectiveness of events and make recommendations, when necessary, to senior administration.


Qualifications

Bachelor’s degree required. Five years related experience.

Knowledge, Skills and Abilities:

  • Must have experience coordinating major events
  • Knowledge of major event planning, etiquette, protocol, and conventional social amenities
  • Knowledge of budget reconciliation
  • Strong organizational, interpersonal, and time management skills
  • Excellent computer skills; ability to analyze situations and develop solutions
  • Travel and work non-traditional hours
  • Manage people and projects, ability to foster positive internal and external public relations
  • Demonstrated ability to manage several projects simultaneously
  • Ability to work both independently and in a team environment
  • Ability to communicate effectively.

Note: Must be able to work a flexible schedule including evenings and weekends; maintain positive and professional customer service and relations within the office and with all constituencies to include students, faculty, staff, alumni, and external vendors.
