Job Description
• Provide general office/administrative support to the SDES TRiO Center Director and staff for various functions.
• Maintains all administrative records (electronic and paper), archives records as needed; some of which may be confidential in nature.
• Maintains all SSS participants' hard and electronic files (including Blumen); archives and maintains all historical data.
• Scheduled appointments, room scheduling, and manages the calendar of the Director as needed.
• Prepares materials, office correspondence, other publications, and detailed reports.
• Maintains departmental budgets, prepares financial records and provides periodic reports.
• Arranges staff and student travel; including processing travel documents, reimbursements, and travel related processes.
• Makes routine purchases, processes payments in accordance with UCF Purchasing and Finance and Accounting guidelines and procedures.
• Recruit, select, train and supervise student assistants.
• Maintains departmental property/inventory; manages surplus as needed.
• Handles employment paperwork (including hiring packets) for all employment classes; maintains staff records (paper and electronic).
• Handles submission of timesheets/ LAPERS , processes payroll and payroll adjustments as needed. Runs various reports in PeopleSoft. Maintains eCRT records.
• Point of contact for visitors and coordinate meetings and scheduling of events for the office, including campus tours as needed.
• Other duties as assigned by the Executive Director, Academic Support Services.


Minimum Qualifications
A high school diploma and five years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience. If minimum requirements of the position do not require post high school education, an applicant is not required to provide the information on the application.

Preferences
• Experience working in and/or managing a dynamic, small office.
• Should be able to take initiative and have the ability to manage multiple priorities simultaneously.
• Excellent computer skills; proficient with Microsoft Office and Excel
• Experience supervising support staff.
• Experience with UCF budget management, purchasing, hiring and payroll procedures
• Excellent written, verbal skills and customer service skills and the ability to work with attention to details.
• Ability to exercise tact, initiative, and to work under minimal supervision. Excellent verbal and written communication skills.

Special Conditions
The position is provisional and funded through August 31, 2020, by a U.S. Department of Education grant.
This is a time limited Contract and Grant (C&G) funded position. Employment is subject to availability of funding and may cease at the time funding for this employment is depleted.
This position does not require college credits. If the selected applicant claims college credit on the application for this position, an official transcript from the accredited institution must be provided within 30 days of the hire date. This applies whether the applicant is a new hire or promoted from among current UCF employees.
