Administrative Assistant II / Graduate Assistant

The MIT Department of Brain and Cognitive Sciences seeks an administrative/graduate assistant to assist the academic administrator in the administration of the graduate program, the graduate admissions process, and other ad hoc duties as needed. Graduate admissions support will include distributing official letters with admissions decisions, responding to questions and requests for information, managing communications with graduate applicants, coordinating prospective graduate student Interview Day, and preparing post admission reports. General support of the graduate program will include serving as a resource for faculty and students on policies and procedures, assisting incoming graduate students with all processes necessary to become part of the MIT graduate student community, assisting with preparation of the Graduate Student Guide, collecting defense information, assisting in maintaining graduate student databases and files, and assisting with training grant administration as needed. Support for the graduate appointment process will include submitting and maintaining student appointments and overseeing the coordination of trainings.

Requirements: at least one year of administrative or related experience in student services or similar position; strong organizational skills; accuracy and attention to detail; good judgment and discretion when handling confidential material; self-motivation and ability to work independently and follow through on responsibilities; excellent interpersonal and oral and written communication skills; ability to work with a diverse group of people; a strong interest in working with students and faculty; a desire to work in a team-oriented environment; and proficiency with Microsoft Word and Excel. Experience using FileMaker Pro and web publishing technology and the ability to identify and learn new programs and software as needed desirable, as are a bachelors degree and university experience.
