The Civil and Environmental Engineering grants manager is a key member of the department's executive team with primary oversight for grant and research related financial activity in the department. The grants manager handles grant proposal preparations for federal and private sponsors, manages grant award finances and monitors other research related departmental accounts for the CEE Department. The incumbent is the senior financial manager working with the Department Manager and Department Chair and s/he serves as a resource for faculty, students, and staff on policy and procedural questions related to grants management, finances and financial controls. The grants manager must combine a firm understanding of University, funding agency and department policy with a thoughtful, service and detail oriented approach to grants and funds management.


The grants manager will work with the Department Manager to smoothly introduce and successfully implement process, workflow, policy and procedure changes at the Department level. The grants manager must work independently with limited oversight to perform his/her duties. The successful candidate will be comfortable working in an environment with frequent changes, evolving systems and tools and possess strong interpersonal, leadership, analytical, and problem solving skills.

Prior experience with sponsored research accounts is required. Princeton University experience and/or experience managing change are preferred.

Supervisory responsibilities:

Direct supervision of a grants assistant

Shared supervision of Department Assistant and Faculty Assistant


Pre-award responsibilities:

Prepare budgets for new proposals.

Prepare proposal submissions to ORPA and then grant agency through either electronic system such as Grants.gov or Fastlane, or directly to funding agency/foundation as necessary


Post-award responsibilities:

Prepare monthly forecasts and spending updates for Principal Investigators.

Monitor spending and ensure that grant budgets are on track with original proposal.

Ensure timely submission of salary and wage certifications.

Track and monitor all cost sharing commitments, including non-salary commitments.

Prepare all cost transfer documentation for PI review and submission as necessary.

Monitor faculty summer salary charges and commitments to sponsored projects.

Prepare requests for no-cost extensions on grants.

Review and verify final reports with Sponsored Research Accounting to close out projects.


Other General Responsibilities:

Monitor research-related 2XXX accounts including research rebate, internal awards, royalty and related accounts.

Review and approve purchase orders/requisitions in PeopleSoft for equipment and supplies.

Prepare allocation models as needed to split charges appropriately among sponsored projects.

Serve as a liaison between academic units and university research administration offices .

Work with Sponsored Research Accounting to respond to requests from Internal Audit or external auditors.

Communicate university and sponsored research policies and regulations to department faculty and staff; ensure departmental compliance to applicable laws, policies and procedures.

Attends all relevant training classes and stays current with changes in policies, procedures and processes pertaining to sponsored research and financial management.

The successful candidate will be comfortable working in an environment with frequent changes, evolving systems and tools and possess strong interpersonal, leadership, analytical, and problem solving skills.

Excellent computational, written and oral communication skills required.

Prior experience with sponsored research accounts is required. The final candidate will be required to successfully pass a background check
