Job Description: The Small Animal Hospital Client Services at the Veterinary Medical Center is recruiting for a Secretary (Call Center Operator). 1. This individual will work one-on-one with external and internal clients and must be able to develop friendly, professional relationships and maintain a positive attitude throughout all interactions. 2. Individual will be responsible for making appointments; registering, maintaining, and discharging clients; maintaining medical records; reviewing/preparing bills; and collecting payments via telephone. Individual must be able to work a flexible schedule including evenings. 3. He/she must possess the ability to empathize with clients that are distressed by long waits, scheduling glitches, and other problems. 4. Individual must also be reasonably familiar with breeds and coat colors and possess a genuine interest in animals.
Minimum Requirements: A high school diploma and two years of appropriate experience. Appropriate college coursework or vocational\/technical training may substitute at an equivalent rate for the required experience. Attainment of a score of at least 35 cwpm on an approved typing test.
Preferred Qualifications 1. Excellent Customer Service Skills 2. Good communication skills, both verbally (telephone and person-to-person); as well as good literacy skills (ability to read and compose grammatically correct sentences) are critical to the success of this position. 3. Good computer skills 4. A high school diploma and two years of appropriate experience. Appropriate college coursework or vocational\\:technical training may substitute at an equivalent rate for the required experience. 5. Ability to deal with the public in a tactful and courteous manner 6. Ability to plan, organize and coordinate 7. Ability to perform basic arithmetic calculations involving money 8. Knowledge of Medical Terminology, veterinary medicine, medical records, and billing systems 9. Ability to make timely decisions 10. Ability to work within a team and perform with minimum supervision 11. Ability to multitask as well as ability to set and change priorities in a fast-paced, high-pressure environment while maintaining a positive attitude 12. Ability to work accurately with attention to detail 13. Ability to handle frequent interruptions and adapt to changes in workload and work schedule 14. Ability to set priorities and solve problems
