MEDICAL SUPPLY INVENTORY MANAGER

Scope of Job:
Responsible for the management of all resources and logistics related to medical supply inventory and distribution in a multi-facility organization operating in a self-distribution self-contracting model. Responsible for all daily activities related to the daily supply distribution for Nursing Units, Specialty Units, Ancillary Departments, Central Supply Inventory, Sterile Supply Inventory, Linen Distribution, Shipping & Receiving, and Mailroom as well as oversight of moveable medical equipment rental.

Description of Duties:
  • Oversees and coordinates the ordering, receiving, and inventory par-level replenishment process for all medical supplies.
  • Leads and directs the work of others to ensure necessary materials are in the right place at the right time and in the most cost-effective way. Has oversight of multiple supply inventories and uses lean methodologies and makes recommendations for inventory adjustments.
  • Responsible for product standardization, implementation, and logistical support.
  • Responsible for departmental budget preparation and control of departmental inventory computer systems/procedures and provides for the recommendation and implementation of cost efficiencies.
  • Responsible for ensuring, preparing, and maintaining supporting documentation/authorization files and ensuring that the database to track inventory and assets is up to date.
  • Manages and participates in the acquisition, controls and reconciliation of medical inventory and assets.
  • Supports functions related to receiving and counting items and recording data manually or via computer.
  • Makes interpretive assessments and determines inventory levels for supply items which support contract reviews and quality business reviews with the Procedural Operations Administration.
  • May coordinate system-owned non-acute care supply logistics for all UTRGV clinics and locations, including but not limited to medical supplies and medical equipment.
  • Determines proper storage methods, identification, and stock location based on turnover, environmental factors and physical capabilities of facilities.
  • Responsible for checking transmittal documentation against material received or delivered.
  • Verifies inventory computations by comparing them to physical counts of stock and investigate discrepancies or adjusts errors.
  • Performs periodic cost and productivity analyses.
  • Documents deficiencies, if any, and refers problem situations to appropriate personnel for resolution.
  • Maintains records for inventory, acquisition, and transfers to ensure proper chain of custody for all deliveries and pickups.
  • Responsible for overall housekeeping of assigned warehouse areas.
  • Manages the recruitment and training of assigned staff.
  • Proposes strategies to reduce costs and improve supply chain logistics procedures.
  • Performs other duties as assigned.

General supervision from assigned supervisor.

Direct supervision of assigned staff.

Required Education:
Bachelor’s degree from an accredited university.

Preferred Education:
Bachelor’s degree specializing in Material Management and Logistics.

Licenses/Certifications:
Preferred: Certified Material Resource Professional (CMRP) or related certificationAs condition of employment this position requires the applicant to be authorized to operate a University-Owned Vehicle for Official University Business. Per University of Texas System Policy 157, applicants will be subject to a motor vehicle record check for their most recent thirty-six (36) month history. Out of State Drivers are required to submit a 36-month history MVR from their prior State of residence(s).

Required Experience:
Four (4) years of experience in inventory management, healthcare material management and logistics.

Preferred Experience:
Progressive growth in healthcare materials management and experience in ERP Inventory Management Systems.

Equipment:
Use of standard office equipment.

Working Conditions:
Needs to be able to successfully perform all required duties. Office environment; some travel and weekend work is required. UTRGV is a distributed institution, which requires presence at multiple locations throughout the Rio Grande Valley.
