About the Opportunity

Campus Operations Manager

Summary:

The Silicon Valley Campus in downtown San Jose, California is seeking a motivated and customer service-oriented individual to manage campus operations. Reporting to the Associate Director of Operations, the Manager supervises a team of staff to ensure that campus operations and services support the needs of all campus students, faculty, staff, and guests. Core areas of responsibility for the day-to-day operation of the campus include access & safety, coordination of building operations, activities, event management, reception desk services, facilities maintenance, inventory management, space scheduling, and administrative and financial services, including internal communication.

The Campus Operations Manager manages 4 - 8 full-time and part-time operations staff and works collaboratively with a broad range of staff, faculty, and students.

This is a highly visible position that requires outstanding interpersonal, organizational, and communication skills, as well as a high level of attention to detail. Regular hours for the Campus Operations Manager are (e.g., 9:00 a.m. to 5:00 p.m.)

Flexibility to work alternate shifts, including occasional evenings and weekends is essential.

This is an on-ground position, that is generally ineligible for remote work.

Qualifications:
  • Bachelor's degree required.
  • Minimum of three years related experience that includes progressive expansion of responsibilities.
  • Effective time management, highly organized, ability to prioritize work, and detail oriented.
  • Exceptional communication, multitasking, organizational and collaboration skills, and the ability to work effectively with diverse groups or constituencies, including multicultural populations of students, staff, faculty, and the community.
  • Superior communication, planning, and customer (internal and external) service skills.
  • Demonstrated integrity, dependability, judgment, team building and resourcefulness to establish and maintain collaborative working relationships with multiple groups.
  • Must have proficient computer skills with experience in Microsoft Word, Excel, PowerPoint, Outlook, and database management. Especially strong Excel skills preferred.
  • Experience effectively managing or supervising staff, including mentorship, and motivating performance improvement is required.
  • Experience working in an educational context with adult learners, thrives in a fast-paced and dynamic work environment preferred.
  • Strong problem-solving skills with the ability to formulate creative solutions to problems.
Key Responsibilities & Accountabilities:

Campus Operations
  • Serve as a primary point of contact, internally and externally, for all activities related to campus, triaging and redirecting inquiries as appropriate to the campus leadership team.
  • Responsible for staffing and operations of the campus, including the Welcome Centre and the Operations Office.
  • Establish and refine Welcome area policies and procedures. Ensure students, faculty, staff, and other visitors to the Campus experience outstanding customer service.
  • Together with the Associate Director of Operations, organize and supervise duties of the campus operations staff.
  • Ensure effective coordination of all aspects of event operations. The Campus Operations Manager will oversee and contribute to event planning, food services, guest registration and building access, event space set up, IT services, event clean up, internal communications, and any other activities necessary to ensure a well-organized and executed event.
  • Manage contracts related to hospitality and 3rd party food services (e.g., coffee, catering, food deliveries).
  • Coordinate the distribution of work across the operations team to ensure amenities (e.g., coffee/tea/etc.) are refreshed, student, faculty and staff needs are met, and inventory stocks are maintained.
  • At the discretion of the Associate Director, coordinate the Occupational Health and Safety meetings; and ensure that first aid supplies and equipment are stocked and in good working order.
  • Provide support to the campus emergency management programs as required.
  • Additional duties as assigned.

Building Support
  • Oversee Husky ID cards for new students, faculty, staff, and other community members.
  • Manage keys and access cards.
  • Build forms and manage data related to building access.
  • Document and improve building access policies and procedures.
  • Act as a point of contact for facility updates and communications with property manager for day-to-day issues.
  • Establish a process for monitoring campus safety, cleanliness, furnishings, and equipment. Submit and follow-up on building service requests to ensure a safe and operational learning environment.
  • Collaborate with the Associate Director of Operations and the Campus Leadership Team to set hours of operation, operational contingency plans, and operational staffing plans.
  • Additional duties as assigned.

Team Leadership and Development
  • In collaboration with the Associate Director, hire and manage operations staff who serve as primary customer service representatives for the Campus.
  • In collaboration with the Associate Director, provide an effective process for performance management and development of staff in keeping with university best practices including measurable goals, clear expectations, constructive feedback, appreciative encouragement, and performance remediation as required.
  • Provide feedback, recognition, and coaching to staff to promote effective performance, professional growth, and development.
  • Plan for and support employees in career and professional development opportunities aligned with university/campus' needs.
  • In consultation with the Associate Director, address unsatisfactory employee performance including developing, delivering, and monitoring performance improvement plans when required.

Space Scheduling
  • Manage space scheduling, access, and maintenance using university systems software.
  • Maintain a master campus calendar to ensure coordination of classes, space allocation, meeting rooms, and events do not impede a successful learning environment.
  • Each term, build and communicate the classroom schedule. Work with Colleges and other stakeholders to ensure equitable distribution of spaces.
  • Develop and update campus digital signage.
  • Work with the Associate Director to provide recommendations on future space needs. Pull and interpret utilization reports from our scheduling systems.
  • Manage access to scheduling systems. Serve as approver on all bookings in restricted spaces.

The expected hiring range for this position is $65,360 to $83,335 based upon the position's scope and responsibilities.
