Job Description

The College of Nursing (CON) is looking for someone who can help manage strong teams to provide administrative support across the entire college and ensure projects, initiatives or other work functions are performed successfully. The successful candidate will have strong interpersonal communication skills, leadership abilities in efforts to increase employee engagement, and support a positive proactive environment that identifies solutions for college success. This position has the option to work a hybrid-remote schedule with the duty post at the Flagstaff Mountain campus. The Assistant Director, Operations, is responsible for directing and developing CON's operations and administration to support delivery of the CON's objectives. This involves the strategic and pro-active management of people, resources and infrastructure, and the development of administrative and business functions of the CON. reporting directly to the Dean of CON, this position will pro-actively works in partnership with directors, their staff and CON business partners and contributes constructively to professional services within the CON. Playing a key role in ensuring effective partnership working between academic and professional services staff in the CON and across the university. As a member of the CON Leadership Team, the Assistant Director, Operations, contributes to the development of the CON and implementation of strategy and operations.

Administrator Roles - 40%
  • Provides in-person administrative support for the College of Nursing (CON) through directing and assisting with personnel management, reporting, workforce planning, and other confidential matters.
  • Sets standards and expectations for the selection, training, and evaluation of unit level Administrators within the college.
  • Assists the Dean and Associate Dean with coordination of faculty processes such as promotion and tenure, annual review, sabbaticals, oversight of the classified/appointed staff performance appraisal process, strategic hiring decisions, coordinate with CON Operations Manager to support hiring process, etc.
  • Serves as the NAU FAAR liaison for the college, coordinating all annual reviews, promotion, tenure, sabbaticals, and Statement of Expectations processes through Faculty 180.
  • Conducts classification studies for classified and professional staff positions within the college; makes recommendations, works with college on effective workforce planning submissions as directed and approved by the Dean.
  • Designs and implements training for staff (and faculty) as requested or needed.
  • Maintain partnerships and ensure coordination of administrative work within CON.
  • Represents the CON at university or outside meetings or conferences.

Operational Roles - 30%
  • Conducts internal review and/or investigation into concerns and conflicts; recommends course of action and documents outcome.
  • Primary resource at the Dean's Office level for classified and professional staff and academic administrators for assistance in staff employee-supervisor conflict resolution.
  • Provide supervision and leadership of college policy and procedures related to the administrative operations of CON.
  • Serves as liaison for Human Resources, the Equity and Access Office, and appropriate VP areas as related to the processing of personnel matters, conflict resolution and actions ensuring that procedural guidelines are followed.
  • Advises the Dean and Associate Dean on matters pertaining to state and federal employment law and NAU policy to insure compliance within the college.
  • In coordination with the Director and Associate Director, develops and aids in the interpretation and implementation of CON rules, regulations, policies, and procedures.
  • Coordinates with Financial Aid and the NAU Foundation to process scholarships and other expense items. Manages nursing scholarships in coordination with the CON scholarship committee, initiates and approves paperwork for the numerous scholarship award recipients.
  • Prepares and maintains all CON personnel records for classification, recruiting and new hire actions, interviewing and selecting new staff, employee grievances, ensuring compliance with all university and affirmative action policies.
  • Assists extended campuses on extended campuses and Human Resources CON part-time faculty pay amounts. Submits requests for all CON non-extended campuses pay. Sends out semester teaching contract letters to all part-time faculty for multiple campus locations.
  • Oversees, maintains, and generates reports for non-exempt time slips and leave reporting for all CON staff.
  • Serve as liaison for the Center for International Education in discussions and documentation preparation for visa applications and fee payments. Coordinate with CON operations manager to assist college with foreign national employee visa sponsorship processing. Serve as the college's facilities coordinator.
  • In conjunction with Facilities Services and represent CON on major capital projects, serve as liaison and provide assistance to CON building managers as needed.
  • Meet 1:1 with directors to conduct needs assessments and provide guidance on workflow management, expectations, and administrator's performance.

Financial & Budgetary Roles - 10%
  • Authorizes and approves requests for purchasing, travel payments, and other expenditures.
  • Serves as CON liaison for student and departmental accounts for all student group and student billing.
  • Submits off cycle check requests for student or part time employees, as needed.

Supervision Roles - 10%
  • Supervises, trains, leads, and supports CON staff at multiple locations including Flagstaff, North Valley, Tucson, and Yuma.
  • Responsible for directly supervising, training, and mentoring department Administrators within the college.
  • Collaborates with the Program Coordinator to ensure supervision and oversight of student employees. Aids the Program Coordinator in the oversight of the submission and approvals of online bi-weekly time slips.
  • Develops training plans for new hires.

Other - 5%
  • Other duties as assigned by the Dean.


Minimum Qualifications

  • Bachelor's degree in related field.
  • 2 -4 years of management or supervisory experience.
  • 3 -5 years of relevant experience.
  • A combination of related education, experience and training may be used as an equivalent to the above educational requirements.


Preferred Qualifications

  • Master's degree in related field.
  • Working knowledge and experience with PeopleSoft.
  • Experience in Higher Education.

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Salary range begins at $72,445. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Service Professional (SPF) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System or the Optional Retirement Program; 22 days of vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. Service Professionals are hired on a contract basis, renewable each 6 months according to terms of the Conditions of Professional Service. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. If a new employee chooses the ASRS retirement option, participation in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, will begin on the first of the pay period following 6 months after the new employee's start date. New employees who choose to participate in the Optional Retirement Plan (ORP), which is an alternative to the ASRS plan for faculty and other appointed staff, will begin to participate on the first day of the pay period following election. Additionally, the long-term disability plan that accompanies the ORP will begin on the first day of the pay period following election.
