JOB SUMMARY:

Provides administrative support to the College of Science Dean's Office Leadership team and associated teams. Coordinates and manages key academic processes and college events as part of the Dean's Office administrative team. Performs other duties as assigned.

JOB DUTIES:

40% - Essential - Administrative: Provide administrative support for the Associate Deans (AD), including calendaring, meeting management, signatures, office management support (e.g., phone, mail, filing, and inquiries), and recruiting activities as needed (e.g., candidate itineraries, schedules, follow ups, etc.). Monitor AD emails for GS2s and deadlines. Provide project support/file organization to ADs for renovation requests, facilities projects, and University-level Award selection/reviews, & regional ADRs. Assist with travel, procurement, and reimbursement activities as needed for the ADs, working closely with the AP&R accountant. Provide admin support as needed for special initiatives/projects.

20% - Essential - College Committees: Provides support for the College Elections Committee, College Discovery Committee, and Graduate Student Faculty Committee (e.g., meeting scheduling, preparing and distributing agendas, minutes, reports, votes, and correspondence).

15% - Essential - Faculty Activity Reporting: Serve at Science point of contact for Faculty Success, assist faculty, chairs, and Science leadership with Faculty Success as needed; work with admin support team to ensure master faculty list is accurate.

15% - Essential - Office Management: Serves as point of contact for checking out shared items, (e.g. regalia, easels, etc). Maintains key log, distribute keys and orders keys as needed. Manages office copier to include ordering supplies, making service calls, assisting users. Monitors and orders general office supplies. Ensures daily maintenance and upkeep of front office, copier/supply room, and meeting rooms. Maintains hospitality area. Sorts and distributes mail and packages. Manages reservations for meeting rooms, golf cart, and Science reserved parking spaces. Issues guest parking passes, maintains usage log and orders new passes as needed.

10% - Essential - Event Planning and Coordination: Serves on the Dean's Office Event Planning Team. Coordinates and manages events as assigned; collaborates and assists in with planning and set-up of events. Responsible for coordinating New Grad Student Orientation & regularly scheduled Grad Student Drop Ins.

MINIMUM REQUIREMENTS:

Education - High School or Equivalent

Experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.

Education - 1st Bachelor's Degree - Administrative management, business administration
Work Exp 5+ years
