Job Summary:
The Administrative Assistant provides advanced-level assistance to the Center for Access and Success. Reporting to the Andrew Hartman '71 & Joseph Fama '71 Executive Director, this position works collaboratively to support Bucknell's national and signature access scholarship programs. In addition to providing operational support to the executive director and director, the incumbent will interact regularly with current and prospective students, faculty and staff, and external partners. They will be an essential partner among the Center's staff and help advance the programs and services for the Center's scholars. They will actively contribute to efforts to foster a diverse, equitable and inclusive community, especially in a commitment to students whose backgrounds are historically underrepresented in higher education.

This is a 12-month (37.5 hours a week), non-exempt (hourly), benefits-eligible position based in Lewisburg, Pennsylvania.

Job Duties:

Office Operations: Supports the day-to-day operations of the executive director and director, including scheduling meetings, updating calendars, creating reports, and maintaining inventory of office supplies. Coordinates student employees to ensure coverage of the Center's reception and programming areas. 25%

Communication & Customer Service: Maintains a friendly, empathetic and professional demeanor while serving as a point of contact for a wide variety of constituents. Helps establish a welcoming, student-centered environment within the Center's office and programming spaces. Screens and prioritizes communications and visitors, making referrals appropriately. Assists with updating and/or revises print and web-based publications. 20%

Organization: Proactively anticipates and addresses needs of the Center with attention to the annual calendar of events. Plans own workload, maintain effective administrative processes to prioritizes key tasks, and ensures the appropriate allocation of time and effort to achieve the required results. Maintains confidentiality of student information in accordance with FERPA regulations and University policy. Performs other duties as assigned. 20%

Event & Travel Logistics: Coordinates the preparation and logistics for the Center's events and activities. Manages reservations for the Center's programming spaces. Works closely with appropriate offices and departments to prepare for and implement events. Prepares itineraries and travel arrangements as needed. 15%

Supporting DEI Initiatives: Demonstrates sensitivity to and an understanding of diverse, intersecting identities. Advocates for scholars from marginalized and historically underrepresented backgrounds to help foster a sense of belonging on campus. 10%

Financial Management: Monitors department expenses and budgets, preparing reports as requested. Manages procurement procedures and reconciles p-card and reimbursement expenses in accordance with university policies. Processes expenses on behalf of the Center's staff as well as for other faculty and staff in who support the Center's initiatives. 10%

Minimum Qualifications:
  • High school diploma or equivalent
  • Three or more years of administrative or office experience
  • Exceptional customer service skills with strong written, oral, and interpersonal communication skills
  • Demonstrated knowledge of computers and software including word processing, spreadsheet, email and calendaring applications; ability and willingness to learn new programs and technologies
  • Ability to maintain up-to-date knowledge of university programs, systems, and resources.
  • Attention to detail, ability to prioritize deadlines, and successfully manage multiple priorities while working independently and as part of a team.
  • Ability to handle sensitive, confidential information in a responsible and appropriate manner
  • Demonstrated ability to positively interact with a diverse range of individuals and a commitment to equity and inclusiveness


Preferred Qualifications:
  • Associate's or bachelor's degree
  • Experience working in a college or university setting
  • Familiarity with Workday, Banner, Slate, or similar types of software


Physical Demands:
  • Able to move equipment and supplies weighing up to 30 pounds
  • Able to remain in a stationary position for extended periods of time; sit or stand at a computer and use a mouse/keyboard for long periods of time
  • Able to move about the office to access file cabinets and office equipment such as phones, copiers and printers
  • Able to work in an environment with a moderate level of interruptions

The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
