Job Description Summary
Penn Engineering is looking for a dynamic and visionary leader to help shape the future of professional education. The Associate Director of Online Programs will lead a critical team of online professionals, be a vital member of the Leadership Team, and significantly impact the evolution of our online, for-credit, and non-credit educational offerings.
Job Description
The Associate Director of Online Programs, reporting to the Executive Director and the Director of Enrollment and Strategy, will take charge of program management across our diverse online portfolio, including multiple online degrees and certificates. The Associate Director's responsibilities include overseeing a team of student success advisors, acting as a project manager, maintaining a high level of customer service, and providing essential insights through regular reporting.
The Associate Director will join a dynamic and fast-paced organization dedicated to offering high-quality, flexible, and accessible world-class engineering education to a global audience.
Responsibilities Include:
- Online Program Management: Manage a robust portfolio of online
degrees and certificates, which includes over 2,000 students and
five different programs. Work closely with the Faculty Directors to
ensure a robust student academic experience. Manage best practices
for enhancing online community within the for-credit programs.
Supervise events such as online seminars, webinars, and the Slack
student community. Serve as the primary project manager for new
program development and implementation.
- Online Program Student Success: Lead the comprehensive
management of the online student lifecycle, guiding them seamlessly
from admission acceptance to graduation. This multifaceted role
involves overseeing retention strategies for diverse student
categories such as active students, new entrants, returnees,
deferrals, and those on leave of absence. Execute proactive
outreach initiatives, monitor academic progress, and foster
community engagement at the program level through virtual events,
clubs, and other activities. Take charge of day-to-day advising,
customer service and academic coaching. To maintain regular contact
with students, assume a ⅓ advising workload Additionally,
collaborate closely with the Director of Student Success and
Advising in the Office of Academic Services to address policy
matters, student conduct, and escalated student issues.
- Reporting & Analytics: Regularly collect and analyze data
related to student success, retention, and program management.
Collaborate on a Slate-based tool to track students from enrollment
to graduation. Use this data to identify trends, assess the
effectiveness of initiatives, and make data-driven decisions for
continuous improvement. Adapt strategies based on feedback and
outcomes to ensure the organization makes meaningful progress
toward its goals. Prepare regular reports for institutional
leadership and stakeholders. Highlight successes, challenges, and
recommendations for improvement. Working with the Executive
Director, serve as primary contact for all internal and external
requests for data and information.
- Team Management: Serve as the bonafide supervisor of a team of
student-facing academic and program advisors, supporting staff
professional development and day-to-day operations. Cultivate an
atmosphere of transparent communication and ongoing feedback,
harnessing the distinct strengths of each team member.
Qualifications:
- A Bachelor's Degree and 3- 5 years of experience in higher
education, working directly with students, or an equivalent
combination of education and experience. A Master's Degree in
higher education, student affairs administration, or a related
field is strongly preferred.
- Experience leading teams.
- Experience conceptualizing and managing the implementation of
new initiatives.
- Proficient with Gsuite, MS Office 365, and communication tools
(e.g., Slack, Teams), and able to adapt to new tools and
technologies.
- Experience using technology to streamline student communication
through ticketing systems, CRM, and/or project management tools
such as Asana and Airtable. Experience with Slate
preferred.
- Understanding of enrollment and retention
benchmarking.
- Experience with academic advising for programs that include an
online component is preferred.
- Demonstrated understanding of the diverse needs and concerns of
historically excluded student populations in STEM.
- Demonstrated ability to design and implement new
programs.
- Demonstrated record of personal and professional initiative,
flexibility, and excellent oral and written communication
skills.
- Ability to work independently and as a team member.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
