Job Summary:
Do you enjoy handling multiple projects while making sure the smallest of details are covered? Do others seek your skills to help with proofreading? University Advancement is seeking a Coordinator to support our Stewardship & Donor relations team. This position requires a high degree of organizational skills and a collaborative spirit. It is a 12-month (35 hours a week), non-exempt (hourly), benefits-eligible position based in Lewisburg, PA and will have the option for a hybrid work location (remote & in-office days).

Job Duties:

In this role, you will apply your organizational skills to effectively handle multiple projects and tasks. Working in an environment that welcomes and values creative ideas, you'll contribute to a variety of projects. Strong communication, multitasking abilities, and skillful prioritization are crucial as you work alongside this hybrid team. This role requires keen attention to detail and the ability to manage conflicting demands effectively.
  • Project Coordination (40%): Assist with project support, including monitoring progress, ensuring deadlines are met, and following up with internal and external partners. Take ownership of project details provided by the SDR team and ensure they are completed precisely and on time.
  • Administrative Support (30%): Provide comprehensive administrative support to include managing tasks, calendars, meeting preparation and minutes, compiling information and ensuring seamless workflows for the SDR team. Assists with budget tracking and invoice submission. Under direction, assist SDR team with execution of engagement and stewardship efforts.
  • Data Coordination (10%): Assist in the development and production of donor reports. Assist with data retrieval, compilation, and analysis. Track and report progress on specific metrics.
  • Documentation (10%): Assist with drafting, proofreading, and maintaining documents/communications/presentations. Organize digital files for efficient communication and access.
  • Communications (10%): Interact with internal and external stakeholders to share/request information and provide direction in a positive and inclusive manner. Follow up with business partners on projects and next steps to ensure deadlines are met.


This position (and all positions in our division) requires the occasional evening and weekend work to support university events including Homecoming, Family Weekend, Reunion Weekend, and other Stewardship & Donor events. We do ask staff to mark their calendars in advance for these events. This position may occasionally coordinate on-campus or off-campus events/activities outside of standard business hours.

We are looking for someone who meets one of these three requirements:
  • High School diploma or GED and two years of experience working in an office or customer service OR
  • Earned an associate's or higher degree and one year of experience working in an office or customer service setting OR
  • An equivalent combination of education and related experience


And also has:
  • Experience that demonstrates the ability to work with and provide customer service to people from diverse backgrounds in a respectful and professional manner.
  • Exceptional organizational and time management skills, independently setting own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Experience that demonstrates the ability and commitment to learn how to use a variety of computer-based programs and platforms to perform essential job duties.
  • Experience with proofreading and editing.


The Stewardship & Donor Relations Coordinator demonstrates high-level organizational and interpersonal skills including diplomacy, tact, discretion and the ability to maintain confidentiality. The individual will exhibit confidence, composure and professionalism, building trust, cultivating positive relationships and successfully managing challenges with integrity and grace.

Additional experience (Preferred):
  • Experience with Excel and database reports (pull, sort and organize comparative data).
  • Proven track record of effectively engaging with senior-level executives or major donors in various capacities, demonstrating strong interpersonal skills and the ability to navigate high-pressure environments.
  • Experience assisting with details of professional events and programs.
