Scope of Job:
To assist in the operation of a program or multiple projects, exercising independent judgment and authority as required. Responsible for all phases of the program, including budget recommendations, program selection, staff supervision, recommendations for future planning, and innovation.

Description of Duties:
  • Develops, supervises and implements programs to promote student engagement by conducting market research to identify preferences, interests, and trends.
  • Coordinates these programs to ensure that implementation and prescribed activities are carried out in accordance with specified objectives.
  • Participates in budget planning and is responsible for controlling expenditures in accordance with budget allocations for the program.
  • Provides guidance and support to student organizations, assisting with organizational development, event planning, and goal setting.
  • Responsible for interpreting to student groups University and College policies and procedures and ensures compliance.
  • Develops and creates, registration, and renewal processes for student organizations, ensuring compliance with college requirements.
  • Plans and coordinates event logistics, including space reservation, permits, catering, and technology, ensuring compliance with university policies.
  • Conducts formal training or gives instruction regarding program policies and procedures.
  • Oversees the maintenance and cleanliness of spaces used by student organizations to ensure efficient use of facilities.
  • Coordinates and organizes orientation sessions or workshops for new and prospective student organization leaders.
  • Collaborates with the Center of Student Involvement to host involvement fairs and other campus-wide events.
  • Facilitates mentorship programs, such as mentor breakfast/lunch gatherings, to provide training and support for student mentors.
  • Coordinates alumni engagement initiatives, including alumni mixers and networking events, in collaboration with faculty and staff.
  • Maintains accurate records of student organizations, including membership lists, event attendance, and financial transactions.
  • Generates reports and analyzes data to assess the impact and success of student engagement efforts.
  • Reviews program records and reports of activities and recommends modifications to methods or procedures as required.
  • Attends meetings, conferences, and seminars related to the program’s mission and goals.
  • Communicates regularly with supervisors to provide program updates on student engagement activities, resource allocation, budgets, and department needs.
  • Develops and maintains working relationships with internal/external departments, agencies, and organizations associated with the program.
  • Collaborates with student leaders, faculty, and staff to identify opportunities for collaboration and partnership.
  • Represents the department at official functions, meetings, conferences, and seminars related to the program’s mission and goals.
  • Performs other duties as assigned.

Required Education:
Bachelor’s degree from an accredited university

Licenses/Certifications:
None.

Required Experience:
  • Three (3) years of experience performing closely related duties, including program planning/coordination or related experience in the appropriate field of the program, or
  • One (1) year of the required experience with a Master’s degree, or
  • Five (5) years of the required experience with an Associate Degree or 60 hours of College Credit, or
  • Seven (7) years of the required experience with a High School Diploma or equivalent.





Preferred Experience:
Previous experience in student affairs, program coordination, or event planning.

Working Conditions:
Needs to be able to successfully perform all required duties. Normal office or classroom or outdoor environment. Some travel and weekend work are required. UTRGV is a distributed institution, which requires presence at multiple locations throughout the Rio Grande Valley. The project or program may require the ability to drive a car for local or distant travel for consultation, training, meetings, or on-site demonstrations. Must be able to bend, stoop, reach and lift for retrieving/maintaining files and for setting up multimedia equipment. Must be able to move between buildings, offices, and classrooms.

Ability to interact in a professional manner with faculty, staff, students and the public. Excellent communication and interpersonal skills and abilities. Demonstrated interpersonal skills. Independent decision making and problem-solving ability. Must demonstrate effective project promotion skills, and, the ability to develop and maintain strong working relations with internal and external agencies and entities. Knowledge of university policies and procedures related to student organizations and event management.
