Job Description:
This position will provide administrative and operational support to faculty, staff and administrators within the department and ongoing communication with our high school partners, students, parents, and SUPA Adjunct instructors via phone, email, and live chat. The duties include assisting with the registration of our students from the initial online application review through the process of importing received application into our database.

This person will also help support our accounting department by preparing Direct Billed invoices for school partners and student invoices. They will assist in collecting Direct Billed Enrollment Forms and help support organize Financial Assistance applications. This candidate will also be responsible for logistical coordination of various initiatives. These duties include but are not limited to information sessions, Trademark Infringements, Tax Letters, Admin PASS/SU Library Access, Instructor appointment letters and others as deemed necessary by the business manager.

Qualifications:
  • Associate degree or Bachelor’s degree preferred.
  • 4 plus years, experience working in a business or higher ed office environment.


Job Specific Qualifications:
  • Excellent oral and written communication skills, strong attention to detail and time sensitive deadlines.
  • The successful candidate must have superior interpersonal customer service skills, the ability to manage simultaneous tasks, be organized with the ability to prioritize work, maintain confidentiality, and have proficiency in Microsoft Excel.


Responsibilities:
  • Student Registration Application Review: In coordination with the Enrollment Services Coordinator, each semester (summer, fall, and spring), monitor the online student applications by pulling various reports to identify any problems or issues such as no class chosen, duplicate application, duplicate classes selected, Bio information, SSN etc. and then fix them in our database. Make sure all applications are prepped before importing into PASS. Sort the applications received by High School alphabetically and maintain a number count; also identify if any changes have been made to the printed application that need to be corrected in our database.
  • Customer Service: Answer inquiries from students, parents, and HS personnel via phone, email and LiveChat. Assist with follow up on the Missing Information rejects, monitor and respond to students who have changed their mind about completing the registration process, and complete course adjustments as necessary when students have registered in the wrong course section.
  • Financial Assistance: Support Accounting Assistant with Financial Assistance Applications. Print and prepare completed applications for review, provide follow-up communication with parent and student if application is incomplete, and alphabetize and file processed applications.
  • School and Student Invoices: Make contact with schools to ensure that annual Direct Billed Forms are received from participating school parents. Run reports from PASS and assist in gathering student balances to prepare invoices to be sent to Direct Billed schools. Run student invoice reports in PASS and help ensure that invoices are mailed to parents per payment calendar.
  • SUID Numbers: After each BIO export is processed by the Registrar typically weekly for each semester), upload the assigned SUID numbers for our students into their PASS record and reconcile the number of records sent and received back. Generate SUID labels each week to be utilized on the student applications so that the applications can be scanned into Onbase for retention.
