Job Description Summary
Under limited supervision this position is responsible for supporting the Department of Emergency Medicine grants management team consisting of 2 Grant Managers, Associate Director of Research Administration, and the Director of Research Administration in pre and post award activities for a significantly diverse sponsored program portfolio consisting of federal, non-federal, state, city grants/contracts and industry trials.

This position is responsible for reconciling monthly reports for grants, contracts and unrestricted funds and taking corrective actions as needed, preparing and processing budgets in accordance with the award, prepare and process journals and cost transfers, , accountable for ensuring Investigators have completed RIA activity, responsible for RIS record entry and tracking of subaward contracts and invoices, maintaining financial and regulatory compliance for each project, Assist Grants Managers with pre-award proposal preparation including entering in required information in PennERA. Assist Grant Managers with post-award activity including closeout and disabling grants, Pcard allocator and responsible for reviewing and signing Procard reconciliation reports in accordance to University policy. Perform other duties as assigned.
This position reports to the Director of Research Administration, Emergency Medicine within the department and has a dotted reporting line to the PSOM Office of Research Support Services."

Job Responsibilities
- Prepare and review proposal budgets and assist in other proposal development activities for staff linked with grant/award
- Responsible for adding all pre award information to department database for continuous updates to research support and faculty distribution of research allocations to investigators
- Monitor grant expenditure for compliance and corrective actions as needed. Work very closely with payroll coordinator to insure proper effort allocated
- Maintain and monitor specific groups of faculty and their overall portfolio. Produce and distribute specialized research related financial reports for investigators. Meet monthly to review their funds and total research portfolio
- Provide liaison to research offices across the University
- Assist in the preparation and submission of monthyl/ quarterly/ as required effort reports. Produce distribute specialized related financial reports for investigators. Post award duties include award set up and management for financial and regulatory compliance, meeting regularly with investigators for expense reporting and projects, and processing reports and transactions, including subcontract activity from start to close out.
- Other duties and responsibilities as assigned
Qualifications
- Bachelor of Science and 2 to 3 years of experience or equivalent combination of education and experience is required.
