Job Description:
Amherst College invites applications for the Procurement Specialist position. The Procurement Specialist is a full-time, year-round position, starting at $26.00 per hour - commensurate with experience. Given Amherst's distinction as one of the most diverse liberal arts colleges in the country, the successful candidate will demonstrate the ways in which they bring value to and will work towards supporting a broadly diverse community.
Support efforts of Shared Services to maintain the integrity of the Procurement and Card Management system. Work closely with AP/Procurement Manager to resolve any operational problems with the supply base on behalf of the College. Administrator of Amherst's Purchasing Card Program. Requires sensitivity to issues of confidentiality, strong communication, interpersonal, and organizational skills, as well as the ability to function with absolute accuracy.
Summary of Responsibilities:
Expense and Card Management
- Analyze disbursements for proper authorization, mathematical
accuracy and expense classification, as well as correct and/or
obtain clarification of departmental designation of
classification
- Account Administrator for the Purchasing Card program.
Establish new accounts, train new card holders and provide support
between the bank and card holders
Procurement and Supplier Management
- Assist with the resolve any operational problems with the
supply base on behalf of the College
- Contribute to sustainability Initiatives with campus partners
and vendors
- Onboard suppliers and maintain the College supplier base in
Workday
- Run weekly and monthly reports for business reviews and to
ensure policy compliance
- Help resolve invoice and payment disputes with
suppliers
Travel Portal Operations
- Maintain and analyze the monthly Travel Card reconciliation
process
- Conduct travel portal trainings
- Issue credit card authorizations
- Assist business partners with problem resolution
Workday updates and training
- Attend Workday Wednesday's to provide support to the
campus
- Respond and solve issues received via IT help
tickets
- Train employees on Workday procurement functions
- Review Workday Releases for knowledge and preparation of
changes
Qualifications:
Required
- High School Diploma or equivalent
- 3-5 years of related experience
- Proficiency in Microsoft Office and able to learn and utilize
new software programs
- Proficiency in Workday
- Strong verbal and written communication, time management, and
problem-solving skills
- Demonstrated excellent customer service
- Commitment to and/or experience working with a diverse
community
Preferred
- Associates Degree
