Job Description: SUMMARY OF POSITION ROLE/RESPONSIBILITIES: This position is responsible for the implementation of all special events and community outreach strategies; managing and growing donor groups and annual giving; managing the college scholarship programs and providing daily administrative support to the Director of Development. Monday Friday 8:00am-5:00pm, Occasional to frequent evenings and weekends. DUTIES BREAKDOWN 35% Responsible for all aspects of planning and implementing special events, initiatives, incentives, meetings and programs highlighting the college. This includes but is not limited to fundraisers, member toasts, luncheons, and any other donor and alumni engagement event. 30% Responsible for the management of donor groups and their boards of directors (e.g., "Friends of" groups and alumni organizations) in a systematized and coordinated manner. Responsible for implementing community outreach strategies that heighten these groupsvisibility and presence. Responsible for presentation, reconciliation, reporting and managing inquiries regarding finances and activities related to these activities. Donor groups comprise (but are not limited to) Friends of Theatre and Dance, Friends of Music, Gator Band Alumni, University Gallery Members. Assists in the recruitment and stewardship of members/sponsors/donors. Responsible for fulfillment activities that insure that donors receive benefits and recognitions determined by gift level or by gift agreement/sponsorship proposal (i.e., inclusion at VIP events, special communication, honor rolls and donor listings, membership programming, etc.). Implementation of electronic communications (various listservs and e-marketing platforms/lists) and maintenance of distribution lists according to membership or initiative; oversees bulk and customized individual mailings as assigned. Author and/or edit such correspondence. 15 % Assists Director of Development with long-range strategic planning and implementation of plans for increasing annual giving. Recommends strategies for strengthening alumni participation and support of the College of Fine Arts. Researches and analyzes data relating to confidential donor information. Develops programs and outreach activities resulting in high levels of alumni participation. Attends college functions to establish relationships with current students. Maintains written and verbal contact with College of Fine Arts alumni, donors and prospects as directed by Director of Development. Assist with preparation of grants and proposals, as needed or assigned, including reporting and fulfillment of grants/sponsorships received. Develops and designs fundraising campaigns and targeted mailers to select audiences. Stays abreast of activities related to alumni within the UF community. Coordinates all prospect activity and solicitation with Director of Development. 10% Responsible for engineering and maintaining a system and record of college-wide scholarship distributiona system considers donors (acknowledgment of, and intent for use of scholarship), recipients (including eligibility and coordinating fulfillment programs including thank you correspondence to donors) and other administrative details including application processes and timing in concert with academic and administrative calendars and personnel; coordinates annual endowment letters to donors. Works directly with College of Fine Arts Business Office to ensure proper transfer of financial aid awards to students. Works in conjunction with the UF Foundation office to obtain financial aid information for the Development Director to aid in preparation of stewardship letters. Assist the Development Director and the Alumni and Marketing Specialist in initiatives aimed at growing the college's scholarship program and other funds and gift initiatives, in response to the college's priorities and needs. 5% Administrative support including gift processing, data requests, fund and endowment set up, calculating financial reports, monitoring budgets, taking meeting notes, and working with the Business Office to process payments. 5% Other duties as assigned
Minimum Requirements: Master's degree in an appropriate area of specialization; or a bachelor's degree in an appropriate area of specialization and two years of appropriate experience.
Preferred Qualifications Preference will be given to candidates with a MasterDegree in a related field and arts experience. Enjoys working with people. Customer service and amiability are crucial to success in this position. Desire to work as part of a team to do what needs to be done. Proficiency in Adobe Creative Suite is also favorable. Highly proficient at all Microsoft Office Programs, such as Excel, Word and Power Point. Excellent people and communication skills. Driverlicense required.
