Position Announcement
The Departments of Earth Science and Physics at Utah Valley University seeks a dynamic and outgoing person to join their team as an Admin Support III. Working under the general direction of the Director, the Admin Support III will perform and/or oversee a variety of associated administrative, fiscal, staff support, and planning activities, some of which require advanced or specialized knowledge and skills. These activities include budget monitoring, facilities, and inventory management, specialized record-keeping and database management, and/or specialized information-gathering projects and tasks. The Admin Support III will coordinate and facilitate meetings, program functions, and/or special events, as appropriate. This position will train and oversee lower-graded staff and/or students. Under the general direction of the Director, performs and/or oversees a variety of associated administrative, fiscal, staff support, and planning activities, some of which require advanced or specialized knowledge and skills, such as budget monitoring, facilities, and inventory management, specialized recordkeeping and database management, and/or specified information-gathering projects and tasks. Coordinates and facilitates meetings, program functions, and/or special events, as appropriate. Trains and oversees lower-graded staff and/or students.
Summary of Responsibilities
- Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, financials, and obtaining factual information requiring knowledge of policies/procedures of both assigned and work related areas.
- Informs students, faculty, and public of departmental and university services available. Responds to incoming calls and walk-in traffic.
- Coordinates department financial activities including timecards, ePAF's, ESAF's, new hire paperwork completion and submission, requisitions, purchase order, travel, index tracking and reconciliation, budget balances, maintaining department records, etc.
- Maintains inventory of office equipment and supplies. Performs other office duties as needed which may include supervision of office support.
Minimum Qualifications
Graduation from an accredited institution with a bachelor's related to the Summary of Duties or any combination of education and/or experience totaling four years.
Knowledge, Skill, and Abilities
Knowledge
- Knowledge of a variety of computer software applications including word processing, spreadsheets, email, internet, databases, and presentations.
- Knowledge of office methods, techniques, practices and procedures.
- Skills in effective interpersonal, problem-solving, decision-making and public relations.
- Skills in the preparation and interpretation of reports, charts, graphs, and tables.
- Exceptional customer service orientation and phone etiquette.
- Maintains confidentiality of highly sensitive information.
- Must demonstrate a professional demeanor and poise.
- Ability to perform a variety of administrative support duties with minimum supervision.
- Ability to communicate effectively, verbally and in writing.
- Ability to follow verbal and written procedures and instructions.
- Ability to meet and work with diverse personalities in a high-stress environment.
- Ability to work independently and multi-task, prioritize, and follow projects through to completion.
- Ability to coordinate and assist in the preparation and monitoring of departmental financial transactions.
