Research Support Specialist II

Job Summary
The Research Support Specialist II provides advanced administrative support within The Water School for administrative, budget, and operations activities related to grants. Functions as a resource for faculty and staff, and facilitates seamless processes to ensure adherence to deadlines and requirements. Provides oversight and monitoring of grant awards, and assists with the execution of grant related work in compliance with award terms.

Job Description

Typical duties may include but are not limited to:
  • Oversees post award activities for assigned portfolio of grants and contracts within The Water School.
  • Collaborates with faculty and staff to create and fulfill schedules for deliverables. Partners with Principal Investigators to meet deadlines and complete required submissions.
  • Assists in the administrative oversight of award budgets, record keeping, and report completion.
  • Completes transfer requests, reconciles expenditure transactions, maintains internal accounting records, and other transactional duties related to award administration.
  • Fulfills purchasing requirements, enters information into university systems, receives purchase orders, and reconciles purchases. Reviews and monitors purchases to ensure compliance with grant regulations.
  • Provides transactional maintenance of funds and accounts.
  • Serves as a liaison between faculty, staff, and sponsors to advise on the preparation/submission of reports and data and review of documentation for compliance with University and award guidelines.
  • Composes and prepares written documents and correspondence, including memos, letters, presentations, and spreadsheets.
  • Establishes and maintains systems for administration of records for the area, including electronic files, records, and databases.
  • Provides administrative support for the hiring of OPS and student employees to assist with post award work and projects.
  • Collaborates with the Office of Research and Sponsored Programs to ensure compliance and adherence to policies and procedures.

Additional Job Description

Required Qualifications:
  • This position requires a high school diploma and six years of full-time experience related to the job functions.
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, and Outlook).


Preferred Qualifications:
  • Bachelor's degree from an accredited institution in a related field.
  • Experience working in higher education.


Knowledge, Skills, & Abilities:
  • Knowledge of general office procedures.
  • Knowledge of policies, procedures, and guidelines established by professional organizations and/or governing agencies.
  • Knowledge of budget control principles, practices and procedures.
  • Knowledge of various funding agency rules and regulations as they pertain to grant/contract administration.
  • Excellent interpersonal, verbal and written communication skills.
  • Strong organizational skills and an ability to prioritize and complete simultaneous projects when numerous and diverse demands are involved.
  • Ability to operate personal computers with proficiency and learn new applications and systems.
  • Ability to accurately prepare and maintain records, files, and reports.
  • Ability to interact in a professional manner with a diverse group of staff, faculty, students, and the community in a service-oriented environment.
  • Ability to thrive in an organization that values the diversity of its student body and workforce and actively promotes an equitable environment.
  • Ability to think critically and make clear, well-reasoned and timely decisions.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
