Job Description:
Amherst College invites applications for the Diversity, Equity, and Inclusion (DEI) Assistant position. The Diversity, Equity, and Inclusion (DEI) Assistant is a full-time, year-round position, starting at $21.35 per hour - commensurate with experience. Given Amherst's distinction as one of the most diverse liberal arts colleges in the country, the successful candidate will demonstrate the ways in which they bring value to and will work towards supporting a broadly diverse community.
The Diversity, Equity, and Inclusion (DEI) Assistant provides administrative support to the Director of the Mellon Mays Undergraduate Fellowship program (MMUF) Program & Academic Engagement and Student Engagement (AESS) (50%) and the ODEI Central Team (50%). Responsibilities include but are not limited to administrative and logistical support coordinating the efforts of the two units named above; management of budgets and calendars; workshop/special event coordination and follow-up, as well as coordination of meetings and travel; preparation of reports and presentations; assistance with special projects; program assistance for the MMUF program, the Wade student program, and other fellowship opportunities. The Assistant takes appropriate actions to support a diverse workforce and participates in the College's efforts to create a respectful, inclusive, and welcoming work environment.
Summary of Responsibilities:
Administrative Support & Communications
- Write and distribute email announcements, correspondence memos,
award letters, and forms.
- Develop and maintain a filing system and assist in preparing
regularly scheduled reports.
- Field questions, referring situations to appropriate college
staff/offices where necessary.
- Hire and co-supervise student assistants for special projects
as needed.
- Assist with identifying potential graduate program directors
and coordinators and coordinate outreach programs and
events.
- Maintain calendars, including coordinating meetings, travel,
and events.
- Arrange travel as needed for off-campus conferences and
events.
- Perform research, complete projects, and correspond with
project partners in support of appointments and events as
requested.
- Prepare documents, including communications, content synthesis,
and minutes.
- Assist in the creation of announcements and alerts for our
digital display.
- Confirm space reservations and use social media networks for
the Office of Academic Engagement and Student Success, Mellon Mays
Undergraduate Fellowship program, and Wade Fellowship.
- Assist the AESS/MMUF Director with the Summer Research Training
program in planning and operations, including but not limited to
scheduling meetings with program stakeholders, processing student
and faculty summer stipends, reserving classrooms, reserving vans,
and event programming.
- Field questions and support summer program faculty and
staff.
Budgeting
- Assist the Associate CEIO with annual budget
preparation.
- Maintain an accurate account of the Mellon Mays (and by
extension Benjamin Mays) program budget and spreadsheets and work
with colleagues in the accounting office to verify
accuracy.
- Assist in the preparation of regularly scheduled
reports.
- Process stipends and reimbursements.
- Organize, manage, and coordinate details for specified summer
faculty and staff instructors.
Project Management
- Support the work of the Mellon Mays faculty advisory and
selection committee and faculty mentors.
- Coordinate logistics, preparation, and follow-up of regularly
scheduled workshops and special events.
- Prepare and manage communication, publicity, and other
correspondence for ODEI-sponsored workshops and events.
- Prepare attendee lists, name tags, publicity, invitations,
etc.
- Attend two overnight MMUF Northeast Regional
conferences.
Office Management
- Purchase and maintain office supplies.
- Process reimbursements and invoices for payment.
- Create and maintain office websites.
- Effectively support and engage with a diverse faculty, staff,
and student body.
- Handle sensitive information in a confidential
manner.
Qualifications:
Required
- High School Diploma or 2 years of related
experience.
- Ability to take initiative, work independently and
collaboratively, and to handle multiple priorities while remaining
attentive to detail.
- Ability to excel within a diverse workforce and support an
inclusive work culture.
- Excellent interpersonal, time management, organizational, and
customer service skills.
- Accounting, bookkeeping, or budgeting skills.
- Strong written and verbal communication and ability to
proofread and edit documents.
- Proficient in Microsoft Office including Word, Excel,
PowerPoint, and Google Suite and ability to learn new
software.
Preferred
- AA or BA.
- Experience working on a college or university
campus.
- An understanding of the diverse communities and salient
identities that the Office of Diversity, Equity & Inclusion
serves.
- Experience with Workday.
