Department Summary

A division of Enrollment Management, the Office of the Registrar is responsible for academic and classroom scheduling, student registration, enrollment verification, grading and academic records maintenance, transfer credit articulation, degree audits, monitoring undergraduate general education requirements, degree awarding, course evaluations, student data/statistical analysis, veterans benefits, FERPA compliance, and transcript services. These responsibilities, assignments, and services are completed within institutional policies and standards as well as related state and federal laws and regulations.

Position Summary

The Student Records Specialist provides customer service to students, others in the University community, and the general public with specialized information and support in the areas of registration, graduation, transfer articulation, and academic records. This position is expected to work independently to maintain the academic standards of the University of Oregon and to interpret laws and University policy concerning these areas to students and the general public.

This position is in a typical office environment and can experience frequent interruptions from students, co-workers, and university faculty and staff. This position performs a variety of highly technical tasks while adhering to time constraints and staying current with the workload every day. Customer service responsibilities include making decisions on requests for exceptions to registration policies and counseling students about failure to meet graduation requirements, sometimes resulting in conversations with frustrated, angry people. Additional responsibilities include processing records, inputting student data, reviewing policies, generating reports and calendars, performing research, and problem-solving. The position may be considered for a hybrid schedule after training is completed. All adjusted work arrangements require supervisor and leadership approval.

Minimum Requirements

  • Two years of general clerical experience. One year of which included typing, word processing or other experience generating documents;
    OR
  • An Associate's degree in Office Occupations or Office Technology;
    OR
  • Graduation from a private school of business with a certificate in Office Occupations or Office Technology AND one year of general clerical experience.

    College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

    Professional Competencies

  • Computer proficiency (keyboarding, word processing, spreadsheet, and database applications).
  • Strong written and oral communication skills.
  • Ability to work under pressure, and with students and others in a professional manner.
  • Ability to perform multiple tasks with accuracy and efficiency and a high level of attention to detail.
  • Ability to work well in a busy environment with frequent interruptions.
  • Ability to work independently and as part of a team.
  • Ability to work with discretion when dealing with confidential matters.
  • Commitment to working effectively with individuals from diverse backgrounds, in support of an inclusive and welcoming environment.

    Preferred Qualifications

  • Associate's Degree or higher.
  • Experience in using Banner Student Information System.
  • Experience with electronic records.
