Specific Job Title: Senior Secretary/Communication Assistant

Reports to: Director of Marketing and Communications (Jennifer Goddard), Accountancy Department Chair (Benjamin Silliman), Business Law Department Chair (Jack Clarke)

Job Summary:

The Senior Secretary/Communication Assistant's focus would be evenly divided between two primary responsibilities:

  1. Supporting the Director of Marketing and Communications. This half of the role will focus on the College's internal and external communications with current students, prospective students and families, alumni, and faculty, including marketing analytics and materials, digital content, and events management. The ideal candidates should be well-versed in social media, have a creative eye for design, and be comfortable working in a fast-paced environment both independently and within a team. This role requires a passion for storytelling, content creation, community engagement, and creative messaging strategies that ladder-up to overall marketing goals.

  1. Supporting the department chairs and faculty of the Accountancy and Business Law departments of the Peter J. Tobin College of Business. This support includes coordination and communications with faculty within these departments with respect to academic affairs; supervision of all departmental student events, with significant external and internal collaboration and coordination; coordination of all communication with outside partners; and administrative management of the Accountancy Department's separate AACSB accreditation process.


Essential Functions:

Functions supporting the Director of Marketing and Communications would include:

  • Provide administrative support for the Director of Marketing & Communications, including student worker schedules

  • Work closely with the Director to plan and execute marketing projects, including but not limited to events, publications, and the College's website and social media, such as:

  • Managing College event calendars for faculty, students, and families; assisting with event planning and production

  • Crafting, scheduling, and publishing social media posts across major platforms (Instagram, Facebook, TikTok, LinkedIn, Twitter/X, YouTube, Vimeo, and emerging channels) and implementing learnings to optimize digital content

  • Monitoring social media accounts and flagging relevant comments or inquiries while growing an online community and engagement

  • Regular reporting to track content performance against defined KPIs

  • Other duties as assigned.


  • Functions supporting the Accountancy and Business Law departments include:

  • Managing department meetings

  • Facilitating all events for the assigned departments, including emailing invitations, tracking attendance, reserving rooms, catering, coordinating with facilities for room set-up and IT to have proper equipment operating

  • Managing appropriate student records and other needed information and documentation by utilizing Banner and other appropriate software.

  • Coordinating the tracking and analyzing the progression of students, particularly those who are having academic difficulties in the department Fast Track programs.

  • Managing and coordinating communications with department faculty with respect to academic matters.

  • Overseeing all communications with Departmental external advisory boards.

  • Supervising department graduate assistants.

  • Live within commuting distance to St. John's Queens and Manhattan campuses

  • Knowledge of WebEx and Canvas


  • Work Environment

    This position operates in a professional office environment, with the ability to handle confidential matters. It requires using a desktop computer, photocopier, fax machine, scanner and scantron machine.

    Physical Demands

    While performing the duties of this job, the employee will primarily be sitting and occasionally may be required to stand at events; move about; sit; climb stairs; and communicate.

    Position Type/Expected Hours of Work:

    This position is full-time, Monday through Thursday, 8:30 a.m. to 4:30 p.m. and Friday, 8:30 a.m. 3:00 p.m.

    Required Education and Experience:

  • Bachelor's degree (marketing, advertising, business, communications, English preferred) or 4+ years of equivalent experience

  • 1+ year of relevant experience in content development/production and social media community management (agency or client side, including paid internships)


  • Preferred Education and Experience:

  • Strong interest and passion for marketing and communications, especially business-related

  • Prior experience managing social media for a brand, business, agency, or marketing department

  • Demonstrated understanding of how content performs with ever-changing algorithms

    In compliance with NYC's Pay Transparency Act, the annual salary range for this position is $47,000 - $50,000. St. John's University considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer. .
