Coordinator, Administrative Program

Job Summary

The Global Health Education office at the Spencer Fox Eccles School of Medicine at the University of Utah serves as a comprehensive resource to meet the global health education needs of medical students. We offer a wide array of services and education activities, including:
  • Graduate Certificate in Global Medicine
  • Mentorship and career planning
  • Elective global health courses
  • Elective clinical clerkships and research courses at our international partner sites for University of Utah medical students
  • Elective clinical clerkships at the University of Utah for medical students from our international partner sites
  • International travel assistance & planning for medical students

The Administrative Program Coordinator provides support for onboarding international visitors, finds and assigns housing, coordinates the Global Health Certificate course, and provides administrative support with travel, meeting scheduling, calendar support, updating files, and data entry. The Administrative Program Coordinator oversees procedural matters related to incoming and outgoing international students in Global Health Education and provides administrative support to the Assistant Dean of Global Health Education.
This candidate must be a self-starter and demonstrate the ability to work independently and take initiative to achieve outcomes is essential. The candidate must be reliable, detail-oriented, and have excellent organizational and strong customer service skills. The candidate must have familiarity with and awareness of various backgrounds and cultures. This position reports to the Manager, Global Health Education

Responsibilities
  • Oversees and onboards all international medical students and visitors who are invited to participate in clinical rotations or observerships. Including housing coordination.
  • Interprets University of Utah Health protocols and regulations and updates forms to reflect current guidelines.
  • Develops and publishes canvas pages, syllabi, and final grades for Global Health Pathway courses.
  • Monitors quality of international visitor program quality and effectiveness and implements improvements.
  • Manage department calendar and schedule meetings.
  • Coordinates international travel and reconciles Tcard purchases.
  • Manage purchasing for the department and process reimbursements.
  • Plan and organize department events, meal planning, and purchases.
  • Record keeping for all visitors’ information, titers/immunizations, paid application fees, background checks, and drug screen fees charged to the department.
  • Other duties as assigned.


Problem-SolvingThis position provides independent coordination and decision-making for all activities of a specified program. The program outcome often impacts the University as a whole. Acts as a liaison between internal and external constituencies involved in program activities. Problems arising from these coordination efforts will be addressed by the incumbent who will refer to the manager for issues outside of program policy and procedure guidelines.

Minimum Qualifications
Bachelor’s degree in a related field plus one year directly related experience or equivalency (one year of education can be substituted for two years of related work experience). Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.
