POSITION PURPOSE:

Within The Office of Academic Programs, the Academic Advising and Resource Center (AARC) works collaboratively with the entire University community to provide student support services as they relate to both retention and graduation. The AARC is responsible for the integrity and maintenance of many of the student success initiatives on campus including, but not limited to, the Academic Notice Program, Academic Jeopardy Program, Reinstatement Program, Honors Program, and Interdisciplinary Studies Program. Additionally, the AARC works closely with students and staff advisors to address diverse student needs such as the assistance with how to set and achieve their academic and career-related goals; understand general education requirements; the selection of appropriate major and minor requirements and overall academic success.

Under the general supervision of the Associate Dean of Graduate & Undergraduate Studies, the Academic Advisor performs moderately complex Student Services professional work characterized by independent student advisement and guidance in individual and group settings. The Advisor is responsible for supporting the academic success of undergraduate students who have not selected a major plan of study, supporting the Interdisciplinary Studies program to assist students in the creation of a program of study not offered in the curriculum and for supporting students in the Helen Louise Hawk Honors program. In addition, the Academic Advisor serves as the case management coordinator for students applying for reinstatement to the institution after academic disqualification. In each case, the Academic Advisor promotes retention, degree completion, and overall student success which requires considerable administrative planning to develop creative solutions and the ability to recognize specific program needs for developing approaches for possible implementation to meet these needs.

DUTIES & RESPONSIBILITIES:

Academic Advising
  • Independently provide academic advising for Honors, Undeclared, Reinstatement, and Interdisciplinary Studies students. Advise students pursuing a concentration in General studies and participate in the development of their degree plan proposal.
  • Provide communication through one-on-one appointments, daily electronic communications, phone calls, and group academic advising sessions.
  • Work with students to evaluate and understand their academic records; set goals for academic progress to ensure completion of their academic programs; informing and interpreting university, college and program level academic policies and procedures.
  • Use counseling techniques to address the variety of needs of a diverse student population including undeclared majors, first-year freshman, and declare majors who may be uncertain of their current major selection or career objective, and those pursuing a degree path not offered at CSU Bakersfield.
  • Assist with campus retention and graduation efforts. Function as an academic case manager for all assigned students.
  • Coach students through degree attainment process. Meet with students on a regular basis to track their academic success, identify options for students to satisfy degree requirements, and evaluate and make recommendations on petitions and amendments to student's program of study to assist their completion.
  • Identify academic options for students such as degrees, minors, certificates, graduation requirements, curriculum, course selection and registration, career options, research, and internships, and extracurricular activities; assist students in establishing realistic and attainable academic and career goals.
  • Refer students to appropriate resources to explore careers and related majors.
  • Monitor academic progress of students. Determine eligibility and satisfactory progress toward degree, identify current and potential needs or problem areas (e.g., study skills, tutoring) and refer students to appropriate campus resources for assistance. Communicate findings to the Associate Dean of Graduate & Undergraduate Studies.
  • Meet with students to advise and direct to applicable retention services such as tutoring, student health, counseling, and financial-aid and career services. Work collaboratively with other academic units and services throughout the university to facilitate comprehensive student support.
  • Ensure students understand how to make use of their MyCSUB and RunnerConnect portals to add/remove courses, remove holds, access their legal information, and identify/contact their Advisors.
  • Actively participate in professional development training, maintaining current and accurate information regarding college student development theory, academic success, retention, and first-year experience support programming.
  • Collaborate with university units outside of the Academic Advising and Resource Center on behalf of individual students, providing advocacy and problem-solving as challenges arise.
  • Ensure Honors Students are aware of the Independent Project requirement.
  • Work collaboratively with Honors Program Director and Assistant Director in sending communications regarding Honors courses and tracking students' progress and completion of their Independent Project requirement.
  • Assist Honors Program activities to ensure a smooth and successful event for students, parents, VIP, faculty, and campus guests.
  • Evaluate the effectiveness of Honors/Undeclared/Reinstatement/Interdisciplinary Studies advising, and continuously identify areas of opportunity to improve the effectiveness.
  • Attend Bi-Monthly AARC staff meetings and report on Honors/Undeclared/Reinstatement/Interdisciplinary Studies advising.

  • Reinstatement Case Management
  • Work collaboratively with ASC in Academic Programs as it applies to Reinstatement Advising.
  • Contact students who are placed on Academic Disqualification to inform them of campus policies and resources to help them bring up their GPA and return to campus to complete their degree.
  • Advise students on a one-on-one basis who require clarification on the steps for achieving Academic Reinstatement.
  • Liaise with the Office of Financial Aid to determine students financial aid eligibility and SAP status.
  • Liaise with the Office of Academic Programs to track the progress of students petition for Academic Reinstatement.
  • Liaise with the Office of Admissions to track the progress of students' re-enrollment status after petition for Academic Reinstatement is approved.
  • Inform students of campus policies such as Withdrawals and Retroactive Withdrawals, Grade Forgiveness, and incompletes and how these can affect their GPA and Academic Standing. Use PeopleSoft to review student records and unofficial transcripts.
  • Use Runner Connect to review student records and make notes on each student that is advised.
  • Inform students of Holds and items on to-do list on their accounts to ensure an ease in registering back to the semester.
  • Direct students to advising center of their major for major advising (if applicable).

  • Data Analysis, Collection & Maintenance of Student Files/Records
  • Work with Faculty to create multi-year coursework roadmaps to facilitate graduation.
  • Update RunnerConnect records and notations, request change to student records via PeopleSoft, input data into intake forms and maintain student files to accurately reflect advising session interactions and progress on or toward degree completion.
  • Input, organize, and enter data to address issues relating to persistence; monitor all students and track assigned student groups to ensure persistence in enrollment, good academic standing, and appropriate progress toward graduation.
  • Create and update graduation outlines and degree roadmaps for Interdisciplinary Studies majors in collaboration with the Director of the Interdisciplinary Studies program.
  • Present data as requested to Directors, Deans, and other University stakeholders as necessary.
  • Collect, organize, analyze, and enter data to address issues relating to retention.
  • Monitor and track all student records to ensure completion of lower-division General Education requirements.
  • Collect and compile data for the End of the Year Report pertaining to undeclared students.
  • Analyze student information system data to better analyze the academic challenges and opportunities faced by the University student population.
  • Coordinate and analyze student relative advising data, initiative progress, progress towards degree, and academic standing.
  • Apply appropriate analysis tools to organizational data and provide summary analysis to relevant staff members.
  • Maintain spreadsheet of all Interdisciplinary Studies students and their degree plan titles.
  • Track students who are currently enrolled, academically dismissed, changed majors, and completed their degree.

  • REQUIRED QUALIFICATIONS:

    EDUCATION & EXPERIENCE –

    Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration, or job-related field and two (2) years of recent related experience. Specialized experience during which the applicant has acquired and successfully applied the appropriate knowledge and abilities may be substituted for the required education on a year-for-year basis. A master's degree in a job-related field may be substituted for one year of the professional experience.

  • Must be willing to travel and attend training programs off-site for occasional professional development.
  • Must be able to work occasional holidays and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.

  • PREFERRED QUALIFICATIONS:
  • Experience in a higher education setting advising diverse student populations.
  • Familiarity with the NACADA advising philosophy, suggested procedures and recommended practices.
  • Demonstrated experience advancing retention, graduation, and student success.
  • Prior knowledge and use of PeopleSoft and/or RunnerConnect and/or other student records database systems.

  • PHYSICAL DEMANDS: SEDENTARY WORK – involves mainly sitting; minimal walking and standing; lifting light weight objects limited to 15 pounds.

    SPECIAL CONDITIONS:
