Campus Overview
The division maintains a campus with approximately 200 buildings, 3,087,031 square feet of space, and 3,420 acres of land. The college is committed to building and maintaining high-performance, sustainable buildings that meet our community's needs while reducing waste, conserving resources, and utilizing efficient on-campus power. The College has made investments in key campus infrastructure elements and, through the recently completed Strategic Plan and Campus Framework Plan, wishes to advance further the replacement of campus infrastructure over the next ten years; however, numerous legacy building systems and older structures still exist that require unique handling, historical tribal knowledge, and advanced staff training to maintain appropriately.

Position Summary
Williams College seeks a collaborative and strategic leader for the Director of Facilities position. Reporting to the Associate Vice President (AVP) for Campus Planning and Operations, the Director for Facilities will oversee the planning, organization, technical, operations, and administrative aspects of the Facilities Department. The Director will provide operational and maintenance management of the campus' built environment; including operating policies and procedures, personnel and budget management, program maintenance and repair; and oversee services for the buildings, grounds, equipment, and vehicle fleet. This includes the management of the following divisions: Mechanical, Electrical, and Architectural Trades; Grounds, Internal Technology Platforms, Custodial Services, on and off-campus rental property support teams; Heating Plant; and Facilities Administrative staff. The Director is responsible for managing operations and facilities in a way that supports and advances environmental sustainability and ensures that quality service is provided to all customers.

The successful candidate will focus on effective communication between the Facilities Department and its clients. This person will provide experienced leadership for a talented Facilities staff; will work closely with the AVP of Campus Planning and Operations and the Assistant Director for Planning, Design, and Construction on developing policies and procedures and promoting teamwork within the staff; ensuring quality service and smooth coordination between construction and operations.

This position will be required to create and provide presentations to Board of Trustee meetings, Williams College Senior staff and leadership teams, and other campus groups. These groups will include staff, faculty, students, and other stakeholders who need information regarding immediate issues and mitigation plans, upcoming work plans, and other facilities-related events.

Change Management
The Facilities team is undergoing significant changes related to process improvements, organizational structure changes, technology systems updates, pending retirements from long-term team members (and the associated loss of institutional knowledge), and campus-wide initiatives such as implementing a new Enterprise Resource Planning (ERP) system. The team is also transitioning from a reactive organization to a more data-driven and proactive Partner on Campus. The Facilities Director will lead all of these change efforts (and new ones which come up in the future) with support from the Facilities management team and will be the primary interface between Facilities and other departments on campus. The ideal candidate will have experience in an organization that underwent similar changes, including Facility Management system implementation and/or significant updates, space management system implementation and/or significant updates, and/or ERP system implementation. The ideal candidate will have at least two years of experience at the institution after these changes were made, so they observed the results and identified whether the goals were achieved.

Responsibilities
  • Provide leadership, operations expertise, and stewardship of the college's infrastructure through safety and environmental compliance and related performance goals. Furthermore, utilize collaborative skills, a customer-centric approach, and data to support the mission and strategic priorities of the college.
  • Effectively lead and manage a staff of over 160 individuals with five direct reports.
  • Monitor, analyze, and work closely with the Budget Director on the Department's $4 million operating budget. Develop and implement monitoring systems and processes, analyze expense and revenue patterns, draw attention to budget anomalies, and recommend corrective actions.
  • Foster the transition to a Data-Driven department and utilize past data to justify future budgets, including staff productivity and accountability.
  • Own and direct the use of appropriate stand-alone and integrated technology systems to support the department and the college's data and information tracking needs.
  • Prepare, update, and oversee the execution of a strategic plan for the department, including resource projections for future needs, continuous improvement efforts, and other changes to improve the team's results and better partner with other departments on campus.
  • Work closely with the Associate VP for Campus Planning and Operations and the Assistant Director for Planning-Design-Construction to develop long and short-range plans for renovation, maintenance, and infrastructure projects; and to ensure a safe, sustainable, and efficient environment for the College.
  • Work closely with Gordian, an external company that collects and analyzes our building information, to compile a ten-year plan that details a solid approach the college can use to decrease the large amount of deferred maintenance on the campus (>$200MM).
  • Research, develop, and make recommendations on projects and issues the Associate Vice President assigns, which require coordination across college departments.
  • Ensure contractor compliance with all applicable fire & life safety codes, building codes, environmental regulations, OSHA regulations, and college policies, and oversee quality control, finish level, and function of all work performed. Communicate schedules, milestones, costs, and status to supervisors, stakeholders, and the college community. Ensure compliance with local, state, and federal building codes and regulations.

Qualifications

Candidates will have a minimum of a Bachelor's degree in a related field with eight or more years of relevant experience as a senior facilities manager in a complex multi-building facility or the equivalent combination of education and experience; deep experience in managing change; the possession of strong analytical skills and ability to use data to guide decision-making; broad intellectual curiosity and enthusiasm for fresh ideas; and excellent coaching and mentoring skills that foster and support a collegial style of leadership are crucial. Experience at an independent school, college, university, higher education, or other large complex organization committed to service is preferred.

This is a full-time, year-round position. Regular evening, holiday, or weekend work is required to support facilities, projects, college events, and programs. This position primarily requires on-site work, but there may be availability for occasional remote work. Job group 1-B.
