Description
Position Title: Human Resources Employment Specialist
Department: Human Resources
Reports To: Assistant VP for Human Resources
Classification: Exempt
FTE: 1.0
Salary Range: $51,000 - $57,000
Essential Job Duties:
1. Support the recruitment of staff employees
- Review and revise job descriptions, post and advertise jobs, create and send employment letters and other new hire paperwork, oversee volunteer paperwork
- Perform updates to letters and other templates as needed; ensure all documents are saved in the correct location to be scanned into personnel files
- Perform data entry and maintain data in Oracle
- Provide support for the applicant tracking system
- Review and approve staffing agency invoices
- Run background checks, monitor and follow up to ensure they are being completed promptly, provide approval for international checks, and monitor and raise concerns when there are issues
2. HR support
- Provide as-needed support for Student Employment, Compensation, and Benefits
- Represent Human Resources in our collaboration with the Environmental Health and Safety team, the Faculty and Staff Well-Being Committee, and the Safety Committee
- Identify and escalate any regulatory or other compliance risks
3. Manage compliance for Workers' Compensation and Safety
- Serves as the primary point of contact with EHS to coordinate all Workers' Compensation efforts and requirements such as:
- Submit Workers' Compensation claims to the college's insurance carrier, conduct accident investigations, correspond with supervisors and the insurance carrier, and manage OSHA recordkeeping
- Act as a liaison between Human Resources, the payroll office, and the worker's compensation carrier.
- Evaluate accident reports, ensuring the timely processing of medical bills and temporary total disability benefits; review medical reports, witness statements, department investigation results, and other documentation. Compiles facts and data regarding accident reports and filed cases.
4. Support, respect, and commit to embracing diverse backgrounds, values, and points of view to build a strong and inclusive community
5. Complete and meet deadlines for required training and performance management cycle
6. Perform other duties as assigned
Work Schedule:
Term: Year-round
Shift: The standard 40-hour work schedule is Monday - Friday, 8:00 am - 5:00 pm; flexible work arrangements can be proposed and are subject to approval by HR and relevant supervisors
Required Qualifications:
Education: High school diploma or equivalent
Experience: 3+ years' experience in an office setting; 3+ years of extensive work with spreadsheet and database systems and/or human resources information system
Preferred Qualifications:
Education: Associate's degree or equivalent
Experience: 5+ years' experience in an office setting; 5+ years of extensive work with spreadsheet and database systems and/or human resources information system
Prerequisites:
Employment in this position is conditioned upon successful completion of a background check, which may include criminal background checks, reference checks, verification of work history, verification of any required academic credentials, licenses, and/or certifications, a motor vehicle check, verification of a DOT certification, a credit check, employment eligibility verification, and/or a pre-employment physical. Whether a background check is deemed completed will be at the sole discretion of St. Olaf College. Please note that at its sole discretion, St. Olaf College reserves the right to conduct periodic background checks.
