Northeastern University's School of Law is home to over ten Centers, Programs and Institutes (CPIs), each its own hub of excellence focused on innovative legal and policy solutions to the major challenges of our time, including those involving public health, human rights, civil rights, and intellectual property regulation. Through an interdisciplinary and collaborative approach, the School's CPIs actively engage and educate the next generation of leaders, fostering an integrated approach to outcomes drawn upon from various fields to address complex issues with greater depth, perspective, and effectiveness.

About the Position:

The School of Law is looking for a motivated and experienced professional to join the team as Program Associate for the CPIs. The Program Associate will work under the supervision of the Assistant Dean for CPIs, while collaborating with the directors of the CPIs, to provide efficient, timely, and well-organized administrative, operations, and event support. The Program Associate will contribute to developing and managing processes and systems to ensure ongoing productivity and success. A successful Program Associate will be self-directed, as well as understand the importance of timely and effective communication, the need to prioritize in a dynamic environment and maintain a strong sense of professionalism.

Qualifications:

Required Qualifications:
  • Knowledge and skills for this role are typically obtained through a Bachelor's degree and a minimum of at least 3 years of experience in academic or non-profit administration or related roles.
  • Demonstrated commitment to diversity and inclusion and a proven ability to work with a diverse group of students, staff, and faculty.
  • Demonstrated success in performing administrative tasks, while utilizing Microsoft software (e.g., Outlook, Word, Excel, PowerPoint, To Do) and other tools to maximize productivity, organization, coordination, and task management.
  • Ability to make independent decisions.
  • Detail-oriented and effective problem-solving ability.
  • Demonstrated ability to manage multiple, competing priorities and make decisions in a dynamic environment.
  • Expertise in working with multiple stakeholders and demonstrated success in communication and coordination among those stakeholders.
  • Strong interpersonal and relationship-building skills and ability to work collaboratively with a diverse group of individuals across the School of Law and University.


Preferred Qualifications:
  • Familiarity with budget development and monitoring.
  • Familiarity with the grant approval and monitoring process.


Responsibilities:

1) Administrative Support

Under the supervision of the AD-CPIs, and in close collaboration with the CPI directors, provide centralized administrative support for CPIs by managing various processes, including budget and expense tracking, contract/invoice/reimbursement coordination/submission, meeting preparation, drafting/editing/designing newsletters and email communications, contact database maintenance, information management and dissemination, student hiring, and other administrative tasks as needed. Liaise with other departments/teams, such as NU-RES, in an effort to identify additional opportunities for streamlined administrative support and communication.

2) Event Planning

Assist CPIs and collaborate with the School of Law's events specialist on key event planning and management logistics, including but not limited to, reserving rooms, communicating and coordinating with vendors and other departments to submit contracts/invoices for review and finalization, submitting speaker reimbursements, marketing, managing event registration, securing caterers, and other planning and day-of event tasks (e.g., set-up, on-site registration, event breakdown) as needed.

3) Process Development and Management

Under the direction of the AD-CPIs, oversee and track ongoing efforts to evaluate and improve processes and procedures that guide CPI administrative efforts, identify opportunities and implement changes for more efficient and streamlined workflows, and resolve issues that may arise.
