Job Summary

Under the general direction of the Director of the Kleefeld Contemporary (KC) this position is responsible for operational and analytical duties related to the financial management and reporting of all KC funds, oversight of grant application and administrative processes, oversight of payroll and personnel processes and special projects

Key Responsibilities
  • Financial Management Preparation & Processing - Log, track, and monitor budget expenditures and advise the Director and staff of the status and/or any problems in budget allocations or expenditures. Generate financial reports for the KC Director, including weekly cash-flow balances and annual budget reporting. Prepare monthly reconciliation of all funds (Grant, Membership, Donations, and IRA etc.)
  • Grants Administration - Prepare grant submission of all grant applications through ORSP processes and guidelines. Establishes and maintain relationships with ORSP and granting organizations to insure smooth processes and clear expectations. Provide oversight of grant budgets, monitoring, and reporting, ensuring compliance with grant protocols and requirements.
  • Personnel Management Preparation & Processing - Enter and review payroll for the KC staff and student assistants, obtain appropriate approval from Director and ASM. Prepare HR related documentation for hiring and updating staff and student employment appointments (i.e., PTFs, e-recruit submissions etc.) Calculate and budget semester/annual student payroll expenses and track actual expenditures against that budget. Establish and maintain all files and records involving contracts, payments, deposits, and time and pay records for the KC staff and student assistants.

Knowledge Skills and Abilities

Excellent communication skills, both written and verbal. Ability to keep accurate, detailed, up-to-date records; to prioritize multiple tasks; and meet deadlines. A willingness to take initiative, adapt and find creative solutions to budget constraints. Ability to understand and interpret complex state/university policies/procedures as they apply to financial matters.

Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

Equivalent to a bachelor's degree in a related field and two years of related experience required.

Three years of experience in administering fiscal operations highly preferred.

Physical Summary

Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.

Hiring Range: $3,518 - $5,000 per month commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: $3,518 - $6,791 per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment
