Job Description:
The Employer Experience Coordinator services established employer relationships with organizations that currently schedule on-campus events, interviews, and participate in recruiting events. Working closely with the Senior Director and Assistant Director, executes decisions concerning policy in regards to employers recruiting on campus. Performs as coordinator in conjunction with the Technology Resource Analyst as system administrator for the Career Development Center's online job posting and on-campus interviewing management system, initiating and maintaining complex system settings, training users, and troubleshooting user problems in a time-sensitive environment. Performs as specialist for the on-campus recruiting activities, developing and maintaining working relationships with high profile recruiters to assist their recruiting strategies and procedures. In collaboration with the Assistant Director of Marketing, Communications and Events, markets recruitment programs to employers, students and faculty, by developing, producing, and distributing email marketing materials. Coordinates special events and information sessions for recruiters, acting as a liaison with faculty to connect employers for classroom presentations and for marketing job positions to students. In collaboration with counselors, initiates and maintains contact with the student population by presenting training workshops, giving classroom presentations, and assisting students throughout the semester. Serves as back up to the office's front desk to ensure students, employers, or guests that arrive in person or over the phone are greeted. Supervision received: general Supervision from Career Development Center Assistant Director, Employer Relations & Operations.

System Administrator for On-Campus Recruiting Initiatives
  • System Administrator for the Career Development Center's on-line job posting and on-campus management system. Responsible for complex system settings and maintenance of the system; configures and customizes the system; implements new feature updates as they are generated; troubleshoots and resolves student and employer user problems; manages the system for student and employer registration, interview scheduling, career fair registrations, tracking of student resume and sign-up deadlines for on-campus interviews. Responsible for approving new job postings and employer requests that come through online job portal system. Trains office staff, employers and students on use of the on-line job posting and on-campus interviewing systems. Creates written training materials pertaining to on-campus recruitment.
    On-Campus Recruiting Experience
  • Coordinator for the on-campus recruiting program. Maintains working relationships with recruiters and assists them in their recruiting strategies and procedures. Assists employers in identifying best practices for recruiting USD students. The Employer Experience Coordinator is responsible for communicating the university's goals, philosophies, majors, programs and student statistics.
  • Advise employers on effective strategies in their recruiting initiatives at USD, providing a range of opportunities to recruit for jobs and internships and increase brand awareness among USD students of their firm.
  • Markets the recruitment program to employers through phone calls, email messages, campus meetings, information packages, and while attending professional meetings and conferences. Contacts over 100 active recruiters each semester to schedule individual interview dates and employer presentations.
  • In collaboration with the Assistant Director of Marketing, Communications and Events, assists with the creation of material that promotes recruiting events to students and faculty and handle career fair registration processes.
  • Provides comprehensive information daily to prospective employers regarding hiring USD students for full-time career positions and internships, including how to list jobs and internships through the on-line job posting system, statistics and criteria of the USD student population and academic programs and coursework available at USD. Creates “information packages” regarding recruiting opportunities at USD to be sent to potential recruiters. Helps employers write job descriptions.
  • Communicates extensively with active recruiters through emails and phone calls, assisting with setting up and tracking interview schedules, employer presentation coordination, answering questions, troubleshooting problems, and responding to their requests in a calm, patient manner.
  • Researches employers on websites to determine acceptability of new recruiters for on-campus interviewing, flagging any potential problems. Participates in committee meetings to review these issues. Creates policy around the acceptability of new recruiters with whom USD partners for the purpose of hiring students, and communicates those policies to Careers staff as well as recruiters.
  • Nurtures recruiter relationships. Personally greets employers at the beginning of their interviewing sessions, works to resolve any problems or challenges that may arise during the day and conducts exit interviews with the recruiters who interview on campus each semester.
  • Coordinates special events and information sessions for recruiters, including room scheduling and catering. Creates MS Excel reports to track catering budgets. Creates emails and flyers to market events and is responsible for the distribution of these materials.
  • Works with the Parking office to procure recruiter parking and to resolve any parking conflicts or difficulties.
  • Tracks job offer and hiring data for on-campus recruiting program. Sends out requests for feedback to employers to receive job offer/hiring data resulting from recruiting efforts. Uses MS Excel to create statistical reports as well as Salesforce and Handshake.
    Liaison between Career Development Center and Campus Partnerships
  • Working with counselors, builds relationships with faculty; acts as liaison with faculty and employers for classroom presentations and job posting distribution. Working with counselors, teams with faculty in various institutes on campus to set up resume collections for department job fairs. Represents the Career Development Center at institute events and is able to speak to large groups of students/faculty about the recruiting process.
  • Initiates and maintains a high level of contact with the student population:
    oDelivers presentations each semester in various classes to orient students on the services provided in the Career Development Center, the on-campus interviewing process and available opportunities.
    oProvides student training for the on-line process. Independently and in conjunction with career counselors, provides Student Orientation Workshops each semester for the on-campus interviewing process. Creates PowerPoint Presentation materials and handouts.
    oAssists students individually throughout the semester on the use of the online system and resolves any difficulties that may arise.
    oCreates student handouts listing on-campus interviews and presentations each semester.
    Additional Career Event Management
  • Works as a team member to support office event and issues planning, including but not limited to job and graduate school fairs, committee participation regarding growth development areas (i.e. internships, recruiter, student and faculty outreach, staffing, etc.)
  • Works closely with Career Development Center counselors to communicate employer contact information, new on-campus recruiters, job opportunities, and other pertinent information for use in career counseling sessions.
  • Use Salesforce and Handshake to track employer interactions on campus. In conjunction with Research Analyst and Passport Coordinator, provides End-of-the-Semester internal reports to office staff listing statistics from recruiting efforts that that semester (Number of employers, number of interviews, number of participating students, etc.) Updates recruiter database each semester along with notes on the evolution of recruiting partnerships.
  • Work in conjunction with the office's Administrative Assistant who provides front office clerical support for the recruiting program, including but not limited to: informing students of dates of on-campus interviewing schedules, preparing parking services memos (for reserving employer parking), daily notices of employers on campus, and preparation of the interview rooms. Serve as back up for Administrative Assistant for front office support including answering phones, greeting guests, scheduling student appointments, opening/closing the office, and setting up interview rooms.

    Qualifications:
    Minimum
  • Minimum of one year of related experience and a Bachelor's Degree with a focus on strong communication skills such as English, Communications Studies, Marketing, HR, or similar focus is ideal; High School or Associate Degree plus three years of related experience could also be suitable.
  • Experience in recruitment, career services, employer outreach, human resources, alumni relations, or similar roles with a high comfort level with technology and software systems.
  • Proven experience in a customer service role in a professional, office setting.
  • Proven experience in working with corporate or employer partnerships.
  • Experience with web based tools, CRMs, or databases.
  • Microsoft Office Suite

    Preferred
  • 1-5 years' experience in higher education preferred.
  • 1-5 years' experience working with university students and employers
  • Proven experience in working independently to implement outlined policy and procedures around recruiting initiatives.
  • Experience in an event management role.
