Coordinator for Study Abroad Financial Operations & Advising
Christopher Newport University invites applications for the position of Coordinator for Study Abroad Financial Operations & Advising. Reporting to the Director of Study Abroad, the Coordinator is responsible for all financial operations within the Study Abroad Office. Responsibilities include processing payments made by students to the business office, budgets for faculty, purchasing, oversight of scholarships, program costs, and invoices. The successful candidate will assist faculty with program budgets, reimbursements, cash and currency advances, reconciliation of expenses, and on-site payments; coordinate with faculty leaders throughout the academic year to ensure program fees are managed as well as assist faculty in creating new budgets for program proposals; assist faculty with budget creation for new programs; present to faculty leaders about program finances and to students and parents about affordable programs and scholarships; coordinate with financial aid to assist students utilizing financial aid and scholarships; serve on the scholarship selection committee and maintain a list of scholarship awardees and applicants; serve as the primary contact for national study abroad scholarships such as Gilman, Boren, etc.; maintain a budget for the CNU in Scotland program; assist with Faculty Travel Grant proposals, awards, and reconciliations; collect tax forms from student ambassadors and contest winners for payment of cash prizes; advise students and parents about the cancellation and refund policy; manage purchases made with state and program funds; train, supervise, and maintain the ability to use the state and local credit cards for office and faculty program purchases and reconcile credit cards; maintain a list of affordable programs; collect registration and payments for the spring and fall study abroad fairs; represent the Study Abroad Office at fairs, information sessions, and recruitment events for students with financial questions; coordinate with Advancement, Financial Aid, and the Foundation when awarding scholarship funds. The successful candidate must develop and maintain very positive and professional customer service and relations within the department and with all constituencies to include students, faculty, staff, guests, and employees; demonstrate a positive and professional attitude and treat everyone with dignity and respect; fully support the “Student First” value at CNU and routinely go the extra mile in providing service; and perform other duties as assigned.
A Master’s degree in a related field, or a Bachelor’s degree and related experience that equates to an advance degree is required. The successful candidate must have experience working in a study abroad office or experience studying or working outside of the United States for a period of time; experience with computer programs and building and using spreadsheets; experience with presenting and public speaking; experience working with financial operations or budgets within a University or study abroad program; experience with student advising; experience with multiple forms of cash/currency exchange rates; strong skills in verbal and written communication; demonstrated ability to work as an effective team member; ability to work with various constituencies; knowledge of accounting practices to include budgeting and reconciliation; excellent customer service skills; and possess the ability to analyze and report data. Preference will be giving to candidates who have experience working with financial operations of an organization; experience working with domestic and international vendors; experience using company credit cards and keeping records of invoices, receipts, statements, and reconciliation paperwork; experience with program fee management, including recording payments, issuing receipts, preparing deposits, and reconciling records; experience with study abroad advising; experience working with multiple accounts and budgets; experience working directly with university faculty; experience managing student applications and keeping student information secure; experience with emergency management; experience coordinating international travel; experience managing scholarships; knowledge of international travel requirements; knowledge of National and International Scholarships for study abroad; and knowledge of federal financial aid.
