Responsibilities:
The Network Science Institute (NetSI) at Northeastern University is seeking an individual to fulfill the role of Senior Grants Administrator. The Network Science Institute is a multi-disciplinary collection of labs with a shared research mission, (see www.networkscienceinstitute.org) with a community of Network Science PhD students, housed in a common office space, and supported by joint intellectual and data infrastructure.
NetSI is seeking a Senior Grants Administrator who will perform work activities in a fast paced, complex, detailed, and multifaceted environment. The GA will be expected to provide monthly reports of Institute expenditures, as well as work closely with all of the Institute faculty to manage and track expenses, monitor accounts for accuracy of charges, identify and manage deadlines, and prepare journal entries when needed. The responsibilities for this position include the following grant pre-award and post-award activities:
Grant Pre-Award Activities:
- Prepare and assemble new grant applications and progress
reports in accordance with the sponsor's guidelines for the faculty
and staff.
- Work closely with principal investigators and other
administrative coordinators to identify all potential costs
associated with a proposal. Present and discuss recommendations for
adjustments appropriate to the proposal and the sponsor
guidelines.
- Communicates with subcontract institution to obtain appropriate
signoff, budgets and other necessary paperwork prior to
deadline.
- Monitor deadlines for new applications, progress reports, and
ongoing
- Take initiative to obtain training in new applications both internal to NEU and those necessary to sponsor submissions.
Grant Post-Award Activities:
- Provide monthly review of expenditures for the Institute and
for individual faculty to manage and track expenses, monitor
accounts for accuracy of charges, identify deadlines, and prepare
journal entries when needed.
- Review and track agreements (subcontract, purchased service,
independent contractor, data use, material transfer etc.) and
invoices (subcontract, service)
- Proactively identify problem accounts and meet with
investigators as needed to assist in projecting cost overruns
and/or under expenditures. Provide recommendations for possible
solutions.
- Responsible for grant specific post-award activities related to
purchases, consultants, and payment of invoices.
- Proactively identify accounts that need close out procedures,
and prepare all necessary paperwork, insuring all personnel have
been removed and all expenditures are appropriate.
- Interact with research administration to ensure compliance with
University government and funding agency policies and provides
guidance on appropriate purchases and allocable charges.
- Work closely with Northeastern's Office of Administrative Research & Finance (ORAF), Accounts Payable, Accounts Receivable, Payroll and other relevant departments to resolve any identified problems.
Prior experience in an academic setting with grant preparation
and management experience is preferred. We are looking for someone
with a solid understanding of Federal/University grant operations,
rates, and regulations, strong computer skills, including, but not
limited to, advanced experience with Excel or other budgeting
software. Analytical skills, attention to detail, and an ability to
manage/prioritize multiple projects are a key component of this
position. Must possess the ability to thrive in a busy,
high-volume, and deadline driven team environment that requires
coordination of multiple activities and the judgment and
flexibility to reprioritize tasks as needed.
Qualifications:
1. Bachelorâs degree is required. Advanced degree in Public
Administration, Business or related fields is preferred.
2. Proficiency in writing; excellent verbal and written
communication.
3. Minimum of five to seven years of experience of directly related
experience in a research environment.
4. Ability to read financial reports and ability to use spreadsheet
and financial applications software is required.
5. Familiarity/experience with all types of award mechanisms,
including grants, contracts, subcontracts, cooperative agreements
and clinical trials.
6. Solid knowledge of proposal processing, requirements and
regulations with granting institutions such as NSF, NIH, and
DOE.
7. Excellent computer, organizational, communication,
problem-solving and interpersonal skills.
8. Ability to work independently as well as in a team setting, able
to successfully work with multiple acadmic Colleges/Department in
an interdisciplinary environment.
9. Must be able to handle confidential material.
