Position Summary:
The Associate Director serves as the day-to-day point of contact
for corporate management of our 6 strategic relationships and
manages complex and sensitive relationships with internal
departments such as Student Government, Housing & Residential
Education, Student Affairs, and Academic Affairs.
This position is responsible for the success of auxiliary
operations by ensuring exceptional service is provided to 40,000
students and 10,000 faculty and staff. Continued growth of the
operation is necessary to enhance services and generate new
revenues which supports the mission of the University of South
Florida.
This position is responsible for managing the administrative and
financial operations of the Department, including managing 3-4
professionals and staff members, developing and monitoring
departmental budgets, managing revenues and expenditures to meet
established goals, and overseeing accounting
responsibilities.
Duties/Responsibilities:
- Serve as the day-to-day point of contact for corporate management of Auxiliary Services 6 strategic relationships. Frequent coordination with management of these entities is required to ensure operations are meeting high standards of service as well as financial performance goals.
- Assist in planning, developing and implementing specific initiatives to grow auxiliary operations.
- Develop and manage complex and sensitive relationships with various internal departments (such as Student Government, Housing & Residential Education, Student Affairs, Academic Affairs) to ensure that students needs are being met, to develop initiatives to meet University goals and requirements, to respond to changes in state and federal laws and regulations, and to coordinate joint activities and events.
- Recruit and develop a staff of 3-4 professionals.
- Develop and recommend departmental financial plans and budgets to the Director of Auxiliary Contract Administration / Assistant Treasurer. Manage revenues and expenses, and compare to budget and established goals. Oversee accounting responsibilities and various financial and operational audits.
- Works with the Director Auxiliary Contract Administration/ Assistant Treasurer on unit goal setting and attainment, accountability measures, financial and operational reporting, improvements to operational processes and procedures, and recommending business policies relevant to the Department's mission.
- Advise and assist the Director Auxiliary Contract Administration/ Assistant Treasurer on all critical business related to Auxiliary Services.
- Assist the Associate Director of Facilities with facilities management and accountability for all auxiliary facilities, including facilities maintenance/repair issues, renovations, health/safety code issues, property inventory, and utilities assessments. Assist with the development of facilities maintenance and renewal plans, and maintain appropriate reserves to fund facilities improvements. Work effectively with external vendors and negotiate reasonable prices for building repairs/renovations.
- Act as point of contact and active member of the University's emergency management team. May be designated as essential personnel in the event of an emergency. Assist with the development of emergency management plans. Participate in required training or exercises as needed.
- Other duties as assigned.
Minimum Qualifications:
Bachelor's degree in Business, Finance or related field and five years of administrative and financial operations experience at exempt level; or a Master's degree in the same fields and three years of administrative and financial operations experience at exempt level.
Preferred Qualifications:
Master's degree in Business Administration or related field and
five to eight years of management experience. Experience in
higher education (appreciation for focus on students) or other
non-profit environment. Experience in auxiliary operations,
including relationship management, management of major programs,
and financial planning and budgeting. Experience in leading
and supporting diverse teams as well as recruiting.

- Demonstrated ability to lead, recruit, manage and support a diverse workforce.
- Ability to manage multiple issues and priorities.
- Strong financial planning and reporting skills.
- Excellent written and oral communication skills.
- Excellent MS Office skills (Excel, Word, PowerPoint, etc.)
