Departmental Overview

Property Management reports on an interim basis to the Chief Financial Officer and consists of six units: Central Distribution, Equipment Management, Excess and Surplus, Fleet Services, Moving and Event Services, and Rental Storage Space. The organization is responsible for: receipt and delivery of new products to campus; stewardship of all capitalized equipment; administrative oversight for the University's fleet of vehicles, including registration, insurance, fuel, maintenance, emissions inspection, and a vehicle rental program; logistical and moving support facilitating departmental relocation and special events; disposition of campus surplus property; and administration of a fee-based secured storage program.

Responsibilities

Special Event Coordination
• Under general supervision, facilitates logistics for events on behalf of internal and external customers ranging in size from 4 to 400 people.
• Evaluate event customer needs, determine appropriate vendors and schedule rental orders.
• Provides cost estimates for events which combine vendor and recharge rates.
• Create setup diagrams as appropriate to ensure proper execution of event logistics
• Ensure appropriate insurance is in place before commencement of projects or room rental, including arranging through Office of Risk Management any appropriate insurance riders and compiling insurance certificates for future reference
• On-site management of small events.
• Coordinates catering for events as requested, includes ensuring compliance with University regulations and policies regarding allowable expenses
• Scouts potential locations and/or vendors for future events.
• Maintains inventory of in-house rental equipment overseeing upkeep and maintenance through quarterly inventories and post-event evaluations
• Provides after-hour and weekend event support as needed
• Independently handles event emergencies such as delayed crews, changes in logistical needs and vendor issues

Move Coordination
• Analyze individual department needs, providing project oversight, including meeting with customers and vendors to schedule moves
• Schedule orders and manage calendar for daily moves
• Dispatch and supervise schedule for daily move crew to ensure proper compliance with scheduled job scopes and University regulations.
• Review orders with crew to ensure proper understanding of schedule and scope of work
• Review and approve vendor bill of lading for daily crew moves
• Facilitate campus access
• Schedule orders for additional crews and make updates to existing extra crew order working with Facilities Management Specialist 2
• Work with Facilities Management Specialist 2 in coordinating multiple crews and activities on campus simultaneously
• Provide on-site move coordination as part of a team with Facilities Management Specialist 2
Backup Support
• Provide backup support to the Facilities Management Specialist 2 during absences or spikes in workload.
• Provide backup support to other Property Management units in the areas of customer support and billing.

Assistant to Financial Officer
• Review and reconcile vendor invoices
• Recharge customers monthly
• Compile and prepare reports FileMaker Pro database
Staff Development
• Participates in staff development that enables the staff member to stretch and grow; includes work on committees and assignments, formal and informal coaching and mentoring, regular training and conference attendance.

Required Qualifications

Knowledge and Skills:
• Strong knowledge of concepts, principles and practices of event production, general moving services, vendor logistics and customer service.
• Strong organizational skills, including skill in effectively coordinating and organizing multiple activities.
• Familiarity with relational databases and information management processes
• Good interpersonal communication skills and political acumen, including skill in effectively representing the campus to its publics.
• Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues/problems that need to be brought to the attention of higher level staff and/or management.
• Advanced skills with MS Office suite of products including MS Visio
• Working knowledge of the campus, its programs, policies, mission, goals, objectives, achievements and infrastructure.
• Must be able to work independently

Education/Training:
• Bachelors degree in related area and/or equivalent experience/training

Licenses or certifications:
• California Drivers License

Salary & Benefits

$45,300 - $57,200 annually
