The Assistant Director of Graduate Recruitment and Admissions manages graduate admissions and recruitment, implements and monitors the admissions process, and facilitates communications with program coordinators. The Assistant Director will implement the newly acquired CollegeNet Admit system effectively and efficiently, process applications through Banner, and maintain excellent customer relationships with all potential and current students as well as internal stakeholders. S/he works as an advocate for students and a liaison between candidates and program coordinators as well as other Longwood University offices with the primary goal of ensuring an exceptional experience for inquirers, applicants, and on-going students. The Assistant Director works with the Dean and Assistant Dean of the Graduate College, reporting directly to the Dean.

DUTIES AND RESPONSIBILITIES:

  • Manage the graduate admissions process through CollegeNet and Banner. Monitor student statuses and communicate information accordingly, facilitate communications with program coordinators, and process specific requests pertaining to the admissions process. Responsible for prompt and consistent responses, follow-up as well as establishing and maintaining excellent customer service processes and relationships. Serves as a liaison with offices to obtain student information as needed.  
  • Verify data for all applicants; generate and send a final decision letter on behalf of the Graduate College Dean. Assist with assigning tasks to student workers and graduate assistants that will best utilize their abilities in order to improve the efficiency of Graduate Admissions.  Leads by example and displays professionalism in the workspace at all times.  
  • Remain current with best practices in recruitment and admissions, federal and state mandates, and internal university initiatives and opportunities through professional development and active participation in committees and university-wide meetings. Participate in webinars and workshops and use available resources to improve knowledge on admissions processes and related programs/software.
  • Research graduate recruiting opportunities and represent the Graduate College and University at selected events, prepare recruiting reports, and evaluate the effectiveness of recruiting efforts.
  • Assist with marketing and communications plans based on current, best practice in graduate marketing.       Manage the design/modification and deployment of admissions and recruiting material in print and electronic form including the website, social media and other emerging digital formats.
  • Develop and maintain collaborative relationships with academic units and other relevant offices within the University (including: Registrar, Financial Aid, Alumni Relations, Marketing and Communications, etc.) to ensure graduate admissions and recruitment functions effectively and students receive all necessary services.

REQUIREMENTS:

  • Master’s or Bachelor’s Degree with equivalent work experience and/or training
  • Relevant experience in higher education or comparable environments with student populations, preferably in the context of graduate education, admissions, marketing and/or recruitment
  • Knowledge of graduate application requirements for all graduate programs
  • Ability to work independently to redesign and implement a graduate admissions process and plan a recruitment strategy.
  • Working knowledge of CollegeNet or similar admissions software and Banner
  • Technical experience working with online CRMs and web based admission software
  • Supervisory experience a plus
  • Excellent interpersonal and communications skills, written and oral
  • Full proficiency with MS Excel, Word and Outlook
  • Understanding of basic HTML and technical aptitude to learn additional skills as needed
  • Experience working in a fast paced and high-volume office setting
  • Demonstrated working knowledge of general office policies, practices and equipment
  • Experience providing administrative and programmatic support in an office environment
  • To be successful in this position, candidates must have excellent time management skills in order to prioritize multiple projects, meet deadlines, and adapt to shifting priorities
  • Dedication to a high level of customer service and willingness to invest time and energy into each potential applicant, remove obstacles to entry, and provide support as needed
  • Thorough knowledge of FERPA and other relevant state policies and requirements, laws and regulations pertaining to enrollment management and willingness and ability to remain current with all aspects of recruitment and admissions at the graduate level
