Responsibilities:
Under the supervision of the Vice President and the Associate Vice President of Enrollment Management, the Assistant to the Vice President of Enrollment Management provides executive level support to the Vice President and the Enrollment Management unit. The Assistant is responsible for managing all administrative needs to ensure that the Vice President and Associate Vice President of Enrollment Management's time is effectively allocated and that both the VP and Associate VP have the information/materials needed to advance the priorities of the division. The Assistant serves as the primary point of contact and gatekeeper for the Vice President and the Associate Vice President. The Assistant manages the calendars, background materials and all travel arrangements as needed for meetings and events. The Assistant initiates and coordinates all aspects (e.g., facilities, menu selection/catering, audio/visual, conference phone, agenda items, minutes, etc.) of regularly scheduled meetings and special events. The Assistant schedules other meetings and events as necessary; and coordinates logistics, among multiple parties in a timely manner. The Assistant screens and fields telephone calls and inquiries, and interacts on behalf of the Vice President and Associate Vice President with other senior administrators, faculty, professional staff and external constituents. The Assistant greets and directs visitors and handles difficult, sensitive and/or confidential issues/matters, including extensive research as necessary. The Assistant manages correspondence; prepares draft materials; develops and maintain files; manages information to and from the Vice President's office (e.g., files, meeting records/notes, correspondence, mail, performance reviews, etc.). The Assistant reviews, follows through, tracks and ensures deadlines are met. The Assistant provides administrative support for various committees; prepares agendas, meeting notes, PowerPoint presentations and reports. The Assistant organizes and initiates appropriate follow-up and minutes. The Assistant reconciles University credit card statements for the Vice President and the Associate Vice President. The Assistant maintains appropriate financial records, prepares and reviews expense reports and performs budget processing and reconciliation as requested. The Assistant maintains effective liaisons and good rapport with the full University community at all levels. The Assistant performs additional duties and assists in special projects as needed and requested. The Assistant to the Vice President will also support the Vice President's direct reports as needed.
The Assistant to the Vice President of Enrollment Management
will work as a team with the Assistant to the Senior Vice President
so that seamless service is provided to both the Vice President and
Senior Vice President. Additionally, the Assistant to the Vice
President will serve as part of an administrative support team in
the suite, including but not limited to: greeting visitors,
providing information and referrals, answering telephones,
ascertaining the nature of calls, taking accurate messages,
confirming appointments, and routing calls in a professional
manner.
Qualifications:
Bachelorâs degree and 5-7 years of progressively responsible
administrative support experience in a fast-paced and
service-oriented environment or relative combination of education
and experience. Strong interpersonal and written communication
skills (including very strong writing and proofreading skills)
required. High degree of diplomacy, customer service and
organizational skills required. Demonstrated ability to handle
multiple tasks simultaneously, respond to last minute requests,
solve problems, act with discretion, adapt to change and maintain
professional demeanor at all times. Willingness to be pro-active,
take initiative and ownership, build win-win situations. Sound
judgment and ability to deal effectively with matters of a highly
visible and confidential nature is essential. Must be able to
handle sensitive material, maintain highest level of
confidentiality, multi-task, set priorities and work independently
or as part of a team. High degree of proficiency with MS Office
products including Word, Excel, Access, Power Point, Outlook and
database management. Sophisticated experience with Power Point
required.
This position requires a 40 hr standard work week with extended
hours periodically required.
