Yale University School of Art seeks Director of Academic Administration

The Director of Academic Administration reports to the Dean of the Yale School of Art and provides strategic leadership for the office of academic administration.The Director works with the Directors of the school’s graduate and undergraduate program areas, and the Director of Finance and Administration in order to coordinate the administrative activities relating to the academic policies, procedures, and programs of the School of Art. The position holds the principal responsibility for maintaining all academic records for 127 MFA students and approximately 30 undergraduate art majors in accordance with university standards. The Director also serves as the authoritative source of current information to students, staff, faculty, other University officers and outside institutions on the academic policies, rules and regulations of the school. Responsibilities of this position include management of the annual admissions process; oversight of student registration; coordination of the administration of undergraduate studies; supervision of academic publications; and the organization of committees that handle course requirements, summer programs, awards and prizes, and the conferring of degrees. Additional responsibilities include performing admissions outreach activities, counseling students on academic and post-graduate issues, and working with the Dean to develop strategies for engaging Alumni. 

The Office of Academic Administration oversees and is supported by two administrative assistants. The Director works closely with the school’s Assistant Deans of Communication and Student Relations to streamline the delivery of student support services and effectively broadcast the activities of the Office to the school, the University, and the general public. In addition, the Director collaborates with the Director of Finance and Administration on department budgeting and monitoring expenses and also participates in space and resource planning for the successful delivery of academic programs and related activities.

Experience within Academic Administration/Affairs within a graduate program of art required together with a thorough knowledge of Registrarial skills. Expert written and verbal communications skills are central to the position as ongoing correspondence, report writing, and data analyses are consistently produced by the Office for use both within the University and by outside institutions. A strong familiarity with the field of contemporary art is required in order to adapt to the highly specialized work of the School and its faculty and students.

 

Principal Duties and Responsibilities:

 

Admissions

  • Develop and implement systems and support for all aspects of the School’s admissions work annually.
  • Assist the Dean and Associate Dean as well as other major School officers with strategies related to establishing the public face of the academic program for visitors, other Yale offices, and outside institutions.
  • Determine calendars, schedules, programming rules and updates for the Slate online admissions tool.
  • Organize the staffing, scheduling and logistical coordination of the annual Admissions Open House event.
  • Manage the publication of admissions materials including the School of Art bulletin, Student Handbook, posters and related website content.
  • Oversee the drafting of all official correspondence with incoming students, including decision letters.

 

Registration

  • Manage the registration process for students by overseeing advisement, processing enrollment, and assisting students with any academic related questions.
  • Establish in-house procedures for the gathering and recording of grades in compliance with University standards.
  • Solicit academic course descriptions from faculty and develop course schedules for both the graduate and undergraduate programs and a summer credit-bearing program.
  • Provide direction to matriculating students regarding degree work and graduation clearance.
  • Coordinate the assignment of classrooms with the Facilities Manager.

 

Student Services

  • Counsel students regarding academic issues and refer students with personal conflicts or concerns to the Assistant Dean of Student Relations.
  • Serve as a representative or advocate for students to other University departments for a variety of issues including visa documentation, medical leaves, enrollment verifications, and curricular or matriculation details.
  • Liaise with the Director of Student Financial Resources in regard to the Teaching Fellow and Work-Study programs with the goal of matching opportunities for all students who wish to participate.
  • Conduct an orientation session for all new students and organize the Dean’s annual All-School meeting.
  • Organize and convene the Dean’s Student Advisory Board and serve as the School’s representative to Vice President’s Council on Student Life.
  • Provide ongoing advice on current grant and fellowship resources and organize and schedule an annual Career Workshop.

  

Faculty Support

  • Organize the orientation of new faculty.
  • Assist with the creation of new class offerings, changes to existing offerings, and course approvals.
  • Chair the Academic Sub-committee of the faculty.
  • Advise faculty regarding appropriate Commencement academic prize committees and determinations, the granting of degrees, and coordination of diplomas.

 

Requirements:

  • Bachelor’s degree required and advanced degree preferred.
  • Minimum 5 years previous experience in similar position at the Director level in a higher education institution.
  • Previous experience in an Academic or Registrar’s office with demonstrated skills in the administration of academic policies and procedures.
  • Demonstrated capacity to be an effective leader with proactive and exceptional problem-solving skills.
  • Well developed technical skills in the use of and implementation of admissions and/or registrar systems and software.
