Based within Strategic Marketing, the Public Programming department’s mission is to raise the profile of the university and engage target audiences by providing leadership and strategic oversight in attracting, developing, implementing, and promoting high value public programs and events. The department requires a highly collaborative approach, working on a daily basis with other departments in Marketing and Communication as well as across the entire university on public programs’ business and operations, content creation, communications and awareness building.

JOB SUMMARY

The Manager, Event Services is an integral part of the Public Programming and the Strategic Marketing teams, responsible for ensuring all events and public programs that take place at the university are scheduled, planned, and implemented with an eye on ensuring maximum value to the university. S/he is a key contributor to the development of the public programs strategic plan providing data, analysis and insights on public programs operations that inform the department’s planned projects and initiatives. S/he is also responsible for evaluating, creating, and implementing policies, best practices and projects that ensure the university reaches the business and marketing goals as set by the Director.

As a first point of contact for the university community for public program requests in the 25Live space scheduling software, the Manager, Event Services position demands a proactive, service-oriented approach, and the ability to manage conflicting needs and interests with diplomacy. Through his/her thoughtful guidance and effectively planned communication and outreach, the Manager not only keeps university staff and faculty in the know but also inspired to do what is in the best interest of the departments, schools and the university.

As a public programs advocate, s/he helps generate enthusiasm for university public programs and pave the way for departments to build beneficial relationships with internal and external partners and target audiences, and to positively impact audience impressions at events. A natural relationship-builder with a can-do attitude, s/he must constantly evaluate current systems and processes and continually work to make improvements for the department and the university—an attitude that reflects a sense of responsibility, service and leadership, and the energy to match The New School’s spirit of constant innovation.

 

Service

  • Oversee the university space scheduling operations for public programs and events. Manage the high-volume of constantly-evolving event requests made by all departments across the university.
  • Serve the singular role of acting as a resource for the entire university community on best practices and requirements for planning and implementing public programs, including, but not limited to, space use, AV, facilities, catering, security and videography requests, event promotion, and partnerships.
  • Lead one-on-one and group working sessions and trainings for event coordinators from across the university and provide leadership and guidance to attendees at these sessions.
  • Provide direction to staff and faculty about how to partner with external organization on events and guide them through the negotiation process. Gather necessary information about the partnered relationship and create Partner Agreements for submittal to General Counsel.

Business Operations and Strategy

  • Identify opportunities to improve operations and to utilize the space reservation software, 25Live, to maximum effect, and work collaboratively with the Registrar’s Office, co-owner of the system, on implementing changes.
  • Analyze current public programs operations, processes, and policies and spearhead the implementation of changes in support of the university’s business and marketing goals. Collaborate with relevant departments such as Buildings/s Facilities, Security, General Counsel, Real Estate to operationalize changes.
  • Lead out the implementation of the strategic projects that increase the value of public program partnerships. Work with faculty and staff from across the university to onboard them to new processes and communicate with external partners about requirements for partnering with The New School on events.

Analysis and Reporting

  • Analyze public program space use. Evaluate its performance and the implications of space use and summarize the findings for the department’s Cost Benefit Analyses and Profit and Loss reporting.
  • Research and report on best practices and standards from other universities and synthesize information into clear recommendations and/or guidance.
  • Research, evaluate, and implement as appropriate national best practices for efficient and effective development of public programs and use of university space.
  • Provide data-driven guidance for all aspects of Public Program initiatives, develop reports, and write executive summaries.
  • Track and report on the results of all Event Services initiatives.
  • Contribute to the development of the Public Programs Annual Report and to the Strategic Plan. Provide data, analysis, recommendations and insights.
  • Take the lead on initiating and implementing projects that improve university operations that relate to public programs/events.
  • S/he will also assist the Director of Public Programming and Partnerships with the following:
  • Other duties, as assigned, that improve the success of individual public programs and of the marketing, communications and operations of New School public programs.
  • Support communication strategies for target market segments that address cultural influencers.
  • Serve as an advocate for Public Programs and help represent the department at key New School events such as the annual Block Party and Commencement activities.

Minimum Qualifications:

  • Excellent written and oral communication and interpersonal skills, with strength in handling difficult conversations with diplomacy and ease
  • Ability to take control of difficult situations by anticipating problems and proposing alternatives and solutions
  • Positive, constructive attitude with a drive to provide exemplary customer service to internal and external constituents
  • Experience in higher education and with academic information systems
  • Excellent organizational and problem-solving skills and attention to detail
  • Ability to keep track of high volume of requests, requirements and deadlines
  • Initiative and ability to work independently
  • Bachelor’s degree required.
  • Microsoft Word and Excel required

Preferred Qualifications:

  • Knowledge of CollegeNet’s 25Live (or R25) scheduling software
